Job Title: Senior On-Site Service Specialist

Summary:
Join our dynamic team as a Senior On-Site Service Specialist, where you will play a pivotal role in transforming our clients' experience through top-notch operations support. You will engage with cutting-edge technology in high-volume duplicating, production, sorting, and mailing tasks, ensuring seamless operations and client satisfaction. Whether it is performing maintenance, troubleshooting, or providing reception services, you will be the heart of our service delivery.

Key Responsibilities 

Mailroom Operations 

  • Sort, process, and distribute all incoming and interoffice mail in a timely and accurate manner. 
  • Prepare and meter outgoing mail, including USPS, UPS, FedEx, and other carriers. 
  • Ensure accurate tracking of all mail and packages using internal logs or tracking software. 
  • Handle special mailings such as certified mail, bulk mail, and priority shipments. 
  • Maintain inventory of mailroom supplies and reorder as needed. 

Dock Operations 

  • Receive, inspect, and sign for shipments at the loading dock. 
  • Coordinate inbound and outbound freight deliveries. 
  • Ensure proper documentation and routing of goods to appropriate departments. 
  • Communicate with vendors, couriers, and internal teams regarding shipment status. 
  • Operate material‑handling equipment (e.g., pallet jacks, carts, dollies) safely and effectively. 

Customer Service & Communication 

  • Serve as a point of contact for delivery inquiries and package status updates. 
  • Assist employees with shipping needs, postage questions, and department deliveries. 
  • Maintain positive relationships with external delivery vendors and internal departments. 

Compliance & Safety 

  • Follow all safety procedures and maintain a clean, organized dock and mailroom area. 
  • Ensure compliance with shipping regulations and company policies. 
  • Report damaged shipments, discrepancies, or safety hazards promptly. 

 

Qualifications 

Required 

  • High school diploma or GED. 
  • 1–2 years of experience in a mailroom, warehouse, shipping/receiving, or related environment. 
  • Strong organizational and time management skills. 
  • Ability to lift and move packages up to 50 lbs regularly. 
  • Basic computer skills; ability to use email, tracking tools, and shipping systems. 
  • Excellent attention to detail and reliability. 

Preferred 

  • Experience with UPS/FedEx shipping software. 
  • Familiarity with dock operations or freight logistics. 
  • Previous experience in a corporate or distribution environment. 

 Working Conditions 

  • Regular physical activity including standing, walking, lifting, pushing, and pulling. 
  • Work performed in mailroom, dock, and office environments. 
  • May require occasional overtime depending on volume or special projects.
