Position Summary

Intercontinental Export Import (IEI) is seeking a highly organized and detail-oriented Export Logistics & Customer Service Coordinator to support our international logistics, customer service, and accounting operations. This position plays a critical role in ensuring timely order processing, export documentation compliance, transportation coordination, customer communication, and accounts payable support.

The ideal candidate will possess strong organizational skills, excellent communication abilities, and experience coordinating international shipments in a fast-paced environment.


Key Responsibilities

Customer Service & Order Management

  • Process customer orders and delivery documentation within Business Central (BC).
  • Enter export sales orders and generate customer proformas.
  • Respond to customer inquiries regarding shipments, documentation, and order status.
  • Provide customers with export loading photos and shipment documentation.
  • Maintain professional communication with customers, sales representatives, warehouses, and internal stakeholders.

Export Logistics Coordination

  • Coordinate weekly export schedules with warehouse and sales teams.
  • Arrange transportation bookings with carriers and internal transportation resources.
  • Manage shipment schedules and monitor delivery timelines.
  • Maintain and update ETA reports to ensure accurate shipment visibility.
  • Process AES filings and ensure compliance with export requirements.
  • Prepare shipping instructions and coordinate with steamship lines.
  • Obtain and distribute shipping releases, telex releases, and related export documentation.
  • Maintain accurate Open Release Reports and freight rate schedules.

Accounts Payable & Accounting Support

  • Process and organize vendor invoices.
  • Verify invoice accuracy and supporting documentation.
  • Assist with payment processing, including ACH, wire transfers, and check payments.
  • Reconcile logistics invoices and validate pricing.
  • Request vendor statements and assist with account maintenance.
  • Generate customer invoices and provide payment confirmations.
  • Maintain organized accounting records and documentation.

Administrative Support

  • Manage email communications across customer service, export, and accounting functions.
  • Assist with special projects and process improvement initiatives.
  • Maintain accurate records and reporting documentation.
  • Support cross-functional collaboration between operations, accounting, transportation, and sales teams.

Requirements

 

Required

  • High school diploma or equivalent.
  • Minimum 3 years of experience in customer service, logistics, transportation, export operations, accounting, or related fields.
  • Strong proficiency with Microsoft Office Suite, particularly Excel.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to work independently and manage competing priorities.

Preferred

  • Experience with international shipping and export documentation.
  • Knowledge of AES filings and export compliance requirements.
  • Experience with ERP systems such as Microsoft Business Central, SAP, Oracle, or similar platforms.
  • Accounts Payable and Accounts Receivable experience.
  • Transportation and logistics coordination experience.
