PURPOSE OF THE JOB: Provide administrative support to mental health center staff in order to assure efficient, cost effective, and timely mental health services are provided to individuals and families in the Bristol Bay region.


QUALIFICATIONS: 

  1. High School diploma or GED required.
  2. Two years progressive secretarial experience in a health care facility preferred.
  3. Prior personal computer experience required.
  4. Must be able to communicate both verbally and in writing, in a professional manner.
  5. Must be organized, dependable and able to work with minimal supervision towards the goals and objectives of the program.
  6. Must be able to handle non-routine situations with sensitivity for clients and their families in a variety of cultural settings.
  7. Familiarity with office equipment and Microsoft Office (Word, Excel, PowerPoint) required.


ESSENTIAL FUNCTIONS: 

  1. Responsible for data entry into the program's client information system, and submission of data to state agencies within specified time frames. This includes entering staff activity, client admissions and discharges, contacts and researching and correcting errors.
  2. Process accurate monthly/quarterly reports for distribution to staff and supervisors according to established time frames. Run ad hoc reports when requested by staff and supervisor.
  3. Answer telephones, greet visitors and clients, schedule appointments, and distribute mail to regional and village-based staff. This includes screening calls for emergency situations and takes appropriate actions.
  4. Initiate the client information intake process and ensure all admission and discharge data is accurately entered into the client information system.
  5. Responsible for submitting orders and maintaining office and programmatic purchases for departmental staff.


POSITION TYPE/EXPECTED HOURS OF WORK: This is a full-time position, and hours of work arid days are generally Monday through Friday, 8:00 a.m. to 5 p.m. Some weekends or evening hours necessary in emergency situations. Attendance in accordance with the BBAHC Attendance policy is a job requirement.

RELATIONSHIP WITH OTHERS: Position requires confidentiality, tact, courtesy, and discretion in personal contacts with public and BBAHC employees. Frequent interactions with staff, school personnel, local businesses, village councils, families, and clients with mental and emotional illnesses. from different cultural and ethnic backgrounds.
