Job Summary

The HR Attendance Clerk plays a critical role in maintaining accurate and up-to-date attendance records for all employees within the organization. This position ensures compliance with company policies and labor regulations by meticulously tracking employee time, absences, and leave requests. The role involves collaborating closely with HR, payroll, and management teams to resolve discrepancies and provide timely attendance reports. The HR Attendance Clerk contributes to the overall efficiency of workforce management by supporting attendance-related inquiries and facilitating smooth communication between employees and HR. Ultimately, this position helps uphold organizational standards and supports a productive and compliant work environment.


Essential Functions

  • Record and monitor daily employee attendance, including absences, tardiness, and leave requests.
  • Verify and reconcile attendance data with payroll to ensure accurate compensation.
  • Respond to employee inquiries regarding attendance policies and records.
  • Maintain confidentiality and security of attendance records and related documentation.
  • Generate and distribute regular attendance reports to HR management and department heads.
  • Assist in auditing attendance records to ensure compliance with company policies and labor laws.
  • Collaborate with HR and payroll teams to resolve attendance discrepancies and update records accordingly.
  • Regular attendance is an essential function of this position.
  • Comply with all applicable food safety regulations and mandates (Safe Quality Foods, Food and Drug Admin, Pasteurized Milk Ordinance).
  • Complies with all company food safety policies and procedures (including Good Manufacturing Practices).
  • Assist technicians with daily duties when needed.
  • Perform other duties as assigned. 


Qualifications

   

  • High school diploma or equivalent.
  • Associate's degree or higher in Human Resources, Business Administration, or related field. 
  • Experience with HRIS. 
  • Proven experience in administrative or clerical roles, preferably within HR or payroll departments.
  • Basic knowledge of attendance tracking systems and timekeeping software.
  • Knowledge of database software, internet software, spreadsheet software, and word processing software. 
  • Strong attention to detail and organizational skills.
  • Ability to handle confidential information with discretion. 
  • Punctual and regular attendance is required.
  • Participate in proactive team efforts to achieve departmental and company goals.
  • Ability to prioritize tasks, handle multiple projects simultaneously, and delegate assignments to others.
  • Excellent written and verbal communication skills.
  • Comply with all safety policies, practices, and procedures. Report all unsafe activity to supervisor and/or Human Resources.
  • Ability to uphold regulatory, company, and customer standards.
  • English skills must be proficient to understand, read, write, and speak.  

Physical Requirements and Environmental Conditions

 

Physical Requirements: 

  • Physical effort is regularly required. 
  • May be trained and required to operate a forklift. 
  • Ascending or descending ramps, stairs, ladders and/or scaffolding. 
  • Frequently involves crouching, stooping, kneeling and/or climbing or balancing. 
  • Frequently involves lifting more than 50 lbs. 


Typical Environmental Conditions:

  • Works in a food processing manufacturing facility with moderate noise. 
  • May be exposed to moderate to high noise levels (i.e., production equipment, forklifts, heavy traffic). 
  • May be exposed to humidity, intense heat and cold, outdoor weather conditions, and fumes and toxic chemicals. 
  • May work in areas with mechanical moving parts, above ground with risk of fall, or areas with risk of electrical shock. 
  • May be exposed to ingredients that may cause allergic reactions and may be exposed to various allergen ingredients.
