The Sales Administrator plays a key role in ensuring a smooth workflow for the sales office, including both the school and commercial bus sales teams. The Assistant Administrator will be responsible for the day-to-day support of the business, including but not limited to telephone support, general sales support, and maintaining internal and external customer relationships.

 

 
   


PRIMARY OBJECTIVES

  • Assist appropriate staff with releasing school buses from the factory to our transport company.
  • Provide support for offsite sales staff.
  • Learn and work within the Thomas Built Bus system to maintain information and reports on new units.
  • Learn the KARMAK system to support school and commercial teams
  • Maintain accurate inventory on our website and within KARMAK
  • Create work orders for new and used school buses
  • Assist with LPO’s and posting of delivery expenses
  • Assist with school and commercial vehicle check-in
  • Assist with vehicle inspection before delivery
  • Assist with creating Rohrer packets for deliveries
  • Assist with warranty paperwork
  • Provide phone coverage for sales office and the front desk as needed
  • Provide support for rebates, expense reports, and check requests
  • Maintain well-stocked sales material displays
  • Excellent communication skills required
  • Commitment to customer service and satisfaction
  • Serve as point of contact for factory representatives
  • Assist sales office staff with additional duties as assigned

 

 
   

 

REQUIRED KNOWLEDGE, SKILLS & ABILITIES

  • Knowledge of, or willingness to learn, Thomas Built Buses system, KARMAK, Daimler Chrysler F & I Pro Program
  • Knowledge of PAA regulations, FMVSS regulations, and PA School Bus regulations
  • Self-motivated, multi-tasking, organized team member
  • Valid PA Driver’s License
  • Must be able to read and write and have the mental capacity to complete the required paperwork and records
  • Must have excellent people skills to interact with customers in person and on the telephone
  • Computer skills: Microsoft Office, Internet, E-mail


WORK REQUIREMENTS

  • Must be able to pass background checks and pre-employment drug screening      •
  • Must be able to spend hours sitting and using office equipment and computers, which can cause muscle strain
  • Must have the ability to maintain attention to detail despite interruptions
  • Must have the ability to read printed materials and a computer screen, and have the hearing and speech necessary to communicate in person and over the telephone
  • Must be able to maintain a high level of confidentiality, especially about client information
