Position Summary

The Senior Planner and Scheduler is responsible for developing detailed plans and schedules for maintenance work execution in a GxP-regulated environment, including preventative maintenance, calibrations, corrective work orders, and utilities support. This role serves as the subject matter expert (SME) for planning data in the Computerized Maintenance Management System (CMMS), owning the quality of planning and scheduling data, generating metrics and reports that drive maintenance performance, and continually improving how the organization uses the system for planning and scheduling. The role is a critical link between maintenance, engineering, metrology, quality, and operations teams, ensuring that resources, spare parts, and compliance requirements are planned and that all stakeholders are aligned on the schedule.

This is an onsite position in RTP, NC reporting to the Associate Director, Facilities Reliability.

Job Responsibilities

  • Planning & Scheduling:

    • Execute planning and scheduling upon receiving work orders in the CMMS to develop detailed, resource-loaded plans and schedules that guide work order execution

    • Create and improve job plans and PM schedules for new and existing equipment, incorporating parts, labor, tools, permits, and safety requirements

    • Coordinate with maintenance managers, engineers, metrology, and operations stakeholders to gather input and align schedules with resource and equipment availability

    • Monitor progress against baseline schedules, identify variances, troubleshoot root causes of schedule breaks, and drive corrective actions

  • CMMS Ownership & Continuous Improvement:

    • Serve as SME for planning data in the CMMS - PMs, job plans, BOMs, and spare parts data - ensuring its accuracy and completeness in coordination with the CMMS Administrator, who administers the system; jointly deliver end-user training on planning and scheduling workflows

    • Build and publish metrics, dashboards, and reports (e.g., schedule compliance, PM on-time completion, backlog health, wrench time) and use them to continually improve planning and scheduling processes

    • Lead or support the migration to a more capable CMMS, including data cleansing, extraction, mapping, validation, and startup readiness for in-house calibration workflows

  • Spare Parts & Materials:

    • Establish and maintain spare parts data in the CMMS, including bills of materials, min/max levels, and critical spares identification

    • Collaborate with procurement to align parts and material deliveries with maintenance schedules and kit materials ahead of planned work

  • Calibration & Utilities:

    • Create and maintain PM and calibration plans for new and existing assets in the CMMS, leveraging subject matter experts as needed

    • Plan and schedule work on utility and building systems (HVAC, RODI, compressed air, autoclaves, fume hoods, electrical distribution, cold rooms, vacuum, automation/controls) with appropriate shutdown coordination

  • Maintenance Plan Review & Reliability:

    • Execute periodic, risk-based reviews of maintenance and calibration plans; assess and adjust frequencies, scopes, and strategies based on equipment history and performance data

    • Collaborate with the Reliability group to develop and publish planning/scheduling KPIs and identify bad actors and improvement opportunities

  • Work Assignment & Logistics:

    • Work with Facilities and Lab Operations leads to assign work orders in the CMMS and balance workload across trades and vendors

    • Plan delivery logistics for incoming equipment and aid engineers in re-configuring lab spaces

  • Compliance:

    • Build safe work practices into job plans (JHAs, safe work permits, LOTO considerations, vendor setup)

    • Create work plans and schedules that enable execution of GxP-critical maintenance and calibrations with the required timeliness and documentation quality

    • Maintain compliance with Quality Assurance and EHS procedures, including training and on-time PM/calibration completion; support audits and inspections with CMMS records and reports

Minimum Requirements

  • Bachelor's degree in Engineering, Business Administration, or a related field with 5+ years of relevant experience; or Master's degree with 3+ years of relevant experience; or High School Diploma with 9+ years of role-relevant work experience

  • Direct experience planning and scheduling maintenance in a pharmaceutical, biotech, or other GxP/GMP-regulated environment

  • Hands-on maintenance planning experience spanning spare parts management, calibration programs, and facility/utility systems

  • Demonstrated proficiency with at least one major CMMS used in the pharma industry (e.g., Blue Mountain RAM, IBM Maximo, SAP PM, eMaint, Fiix, or equivalent), including configuring master data and extracting metrics and reports

  • Strong analytical, problem-solving, and troubleshooting skills; able to assess unusual circumstances, evaluate equipment and schedule data, and devise solutions with limited precedent

  • Excellent communication and interpersonal skills; able to influence and align cross-functional stakeholders and advise others on difficult planning matters

  • Complete working knowledge of maintenance planning and scheduling principles and practices; works independently with review at critical points

  • Strong attention to detail, organization, and documentation accuracy suitable for a regulated environment

  • Ability to manage multiple priorities simultaneously in a fast-paced environment

  • Ability to train new team members and coach peers on planning, scheduling, and CMMS best practices

Preferred Education, Experience and Skills

  • Experience leading or playing an instrumental role in a CMMS migration or new CMMS startup, including data preparation, cleansing, and validation

  • Experience with in-house calibration program management and metrology workflows in a CMMS

  • Knowledge of reliability and risk management principles (e.g., FMEA, RCM, criticality analysis) and project management methodologies (PMI, Lean)

  • Certifications such as CMRP, CRL, or equivalent

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and data/reporting tools (e.g., Power BI)
