JLL is seeking a Mail, Shipping & Material Coordinator to join our team. This position involves working with a diverse group of internal and external stakeholders at a client site in Eagan, MN. This will be a hybrid role providing a wide variety of shipping support services to the local team, as well as administrative project work supporting the account. The successful candidate will be detail oriented with strong organizational skills and a team player attitude.
Essential Functions – Mail Shipping
Prepare courier packages, coordinating pick-up and delivery, confirming delivery/receipt with appropriate stakeholders, and resolving any related issues in a timely manner
Provide backup support processing international shipments
Process and validate documentation for handoff to the designated freight suppliers for outgoing packages
Enter Bill of Ladings
Record all incoming and outgoing packages (internal and external)
Troubleshoot and fix any issues with equipment and software
Use data analytics to create reports on incoming and outbound shipping data
Support delivery and / or coordination of onsite pick-up of packages for employees
Report on defective materials or questionable conditions to the department supervisor
Maintain the work area in a clean and orderly condition and follow prescribed safety regulations
Provide operational excellence through administrative support
Sort and distribute USPS & PO Box mail
Essential Functions – Material Handling
Process requests in the client’s waste stream profile system
Transport 5-gallon and 55-gallon containers of hazardous and non-hazardous lab waste to centralized building locations (usually a designated 90-day hazardous waste room)
Inspect drums for proper labeling as described in the waste stream profile system
Close containers according to checklist (bung tightness, bolt location relative to label, etc.)
Palletize and prepare for shipping according to checklist, situated on pallet, banded, manifest number added
Follow checklists with attention to details
Plan order of work to ensure efficient completion within required timelines
Follow all Health and Safety rules including personal protective equipment and material handling instructions
Communication to lab occupants and requesters for non-compliant waste shipments
Maintain inventory of supplies, labels, liners, zip ties, etc.
Essential Functions – General Account Support
Conduct regular site inspections to identify issues and create tickets proactively
Maintain accurate records and documentation within the CMMS platform and actively monitor and take action steps on work orders
Identify and implement operational improvements and short/long-term projects within budget
Ensure compliance with building, health, safety, and fire codes
Collaborate with internal departments and vendors to deliver committed services
Other duties that may include but are not limited to: reception and guest support, mail and courier services, office supplies and equipment maintenance, landlord relations and management of building access passes, safety and security support
Required Qualifications
High school diploma or equivalent
Training provided depending on specific role
Computer skills and experience with Microsoft products such as Excel, Word, Outlook, PowerPoint
High degree of comfort learning new technologies
Other requirements
Ability to interact with client personnel
Strong customer service and interpersonal skills
Excellent communication skills, both written and verbal. Must be able to present information in a clear and concise manner

A high degree of accuracy is required for handling sensitive equipment and proper routing of shipments
Ability to work in fast paced environment while managing multiple work streams and priorities
Ability to lift 50 lbs. repeatedly
Lifting, bending, twisting and operating a manual pallet jack, powered pallet jack & forklifts

Estimated compensation for this position:
55,000.00 – 65,000.00 USD per yearThis range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
