SUMMARY
Provides administrative and operational support across core HR functions, including internal communications, policies and procedures, and employee service and recognition programs. Coordinates onboarding for new employees, maintains digital, medical, and personnel files, and supports internal program administration. Assists with wellness program administration, HR reporting, and serves as a point of contact for employee inquiries.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Â
- Provides responsive, customer‑oriented HR support by answering employee inquiries related to company policies, procedures, and HR programs, ensuring clear communication and a positive employee experience.
- Maintains accurate and confidential employee records, including personnel, medical, I‑9, and other required files, in compliance with company policy and regulatory requirements.
- Ensures full I‑9 compliance by completing, auditing, and monitoring I‑9 documentation for new and existing employees on an ongoing basis.
- Administers Motor Vehicle Record (MVR) reporting for all new hires, and current employees, maintaining accurate documentation and ensuring compliance with organizational and regulatory standards.
- Manages internal communications by creating, coordinating, scheduling, and distributing messages; maintains accurate records of communication timing, content, and audience to ensure consistency, , and effective information delivery.
- Administers employee service awards and retirement recognition programs on a monthly basis, including auditing data for accuracy, gathering required information from HR Managers, coordinating recognition letters and photos, assembling materials, and distributing awards to appropriate employees/locations.
- Collaborates with Procurement and Marketing to coordinate ordering of gift cards, recognition materials, and formatting of service award communications to ensure consistency with company branding and values.
- Works directly with external vendors and suppliers to order and manage employee recognition and life‑event items such as bereavement gifts, baby boxes, and new hire welcome kits, ensuring timely delivery and a thoughtful employee experience.
- Delivers an internal customer‑focused onboarding experience by organizing, administering, and coordinating new hire orientation for all Americas Corporate and Sales employees, ensuring new employees feel welcomed, informed, and supported from day one.
- Serves as a primary point of contact for new hires by creating and distributing customized pre‑hire and day‑one communications, including benefits information, onboarding materials.
- Coordinates with IT, to ensure all required equipment, system access, and resources are prepared and available prior to the employee’s first day (Americas Corporate Office employees).
- Prepares and maintains new hire documents, including assembling monthly new hire packets and ensuring all materials are accurate, complete, and delivered in a timely manner.
- Administers employee service awards and retirement recognition programs on a monthly basis, including auditing data for accuracy, gathering required information from HR Managers, coordinating recognition letters and photos, assembling materials, and distributing awards to appropriate employees/locations.
- Collaborates with Procurement and Marketing to coordinate ordering of gift cards, recognition materials, and formatting of service award communications to ensure consistency with company branding and values.
- Works directly with external vendors and suppliers to order and manage employee recognition and life‑event items such as bereavement gifts, baby boxes, and new hire welcome kits, ensuring timely delivery and a thoughtful employee experience.
- Ensures compliance with local, state, and federal labor law posting requirements for all Americas locations. Maintains up‑to‑date postings and documentation.
- Orders, coordinates, and supports internal HR‑sponsored events, including the annual corporate office barbeque, department lunches and various office holiday celebrations.
- Photographs key events and activities at the Corporate Office to support HR communications, employee recognition, and internal documentation; ensures photos are captured, organized, and shared appropriately in alignment with company standards.
- Actively promotes and supports company culture, mission, vision, and core values, including adherence to safety beliefs, employee engagement initiatives, competencies, code of conduct, and established policies and procedures.

EDUCATION and/or EXPERIENCE
Associates degree or equivalent from two-year college; and six months to one-year related experience; or equivalent combination of education and experience.
