Job Title: ASC Front Desk Receptionist/Scheduler 

Reports To: ASC Business Office Manager

 

General Summary of Duties: 

This position serves as the Front Desk Receptionist for our Ambulatory Surgery Center (ASC). The Front Desk Receptionist/Scheduler is responsible for delivering exceptional customer service to patients and ensuring a smooth and welcoming experience within the center. In addition to patient-facing duties, this role also manages medical records to ensure compliance with regulatory standards and is responsible for closing patient charts accurately and efficiently. 

Essential Job Functions:  

  • Welcomes all individuals entering the ASC suite with a professional and positive demeanor. Checks in patients promptly and offers assistance to both patients and their family members. Communicates any concerns that may affect the schedule flow to the RN staff.
  • Coordinates and schedules surgical procedures on a daily basis.
  • Prepares surgical charts by accurately entering patient information, including consent forms, history and physicals (H&P), lab results, EKGs, and pathology slips. Generates charge sheets for each case.
  • Collects labs, EKGs, and history and physicals (H&P), and organizes them in the Anesthesia folder for review as needed for scheduled cases.
  • Creates file folders for each complete case. Inserts operative notes and pathology reports into the corresponding charts upon receipt, and files completed charts accordingly.
  • Monitors medical records to ensure regulatory and documentation compliance.
  • Closes and finalizes patient charts in a timely manner.
  • Maintains confidentiality in all areas concerning business, patient privacy and patient records. Safeguard computer passwords. Maintain the electronic as well as the necessary physical security for the operation of the ASC, which will include computer access and physical access to the ASC suite.
  • Works in conjunction with support staff, OR Techs, RNs, MDs as an active member of the Team and adheres to ASC Policies and Procedures.
  • Provides secretarial support for the ASC including managing the telephone systems.
  • Accurately and efficiently utilizes phone, computers, fax, copy machines, and labelers.
  • Anticipates supply needs and maintains an organized supply inventory.
  • Accurately stores and retrieves departmental data through the use of computers utilizing word processing software, some preformatted databases and spreadsheets.
  • Maintains computer files of departmental billings, forms, letters, minutes, reports and statistical data for tracking and reporting purposes, and print out Infection Reports.
  • Communicates with physician's offices in a professional manner.
  • Communicates problems or issues with Manager, RN staff, ASC Administrator and/or Materials Management regarding bookings.
  • Reviews OR schedule with the ASC Administrator to assure accurate times are allowed for each booking.
  • Reports any schedule changes to appropriate staff members i.e. booking times, procedure changes, cancellations.
  • Gathers and enters data for Patient Satisfaction Survey.
  • Additional duties as assigned by the manager to meet department needs. 

 

Requirements: 

  • High school diploma or equivalent 
  • At least 1 year of medical receptionist or administration experience preferred
  • Excellent communication and interpersonal skills
  • Excellent customer service skills
  • Knowledge of MS Office and EMR systems/ practice management systems
  • Knowledge of insurance eligibility and verification 
  • Motivated individual with team approach 
  • Must be able to travel to all sites if/when necessary.
