Are you highly organized, detail-oriented, and passionate about supporting business operations that drive growth and profitability? Phillips Pet Food & Supplies is looking for a Merchandise Coordinator to join our Merchandising team. In this role, you'll play a critical part in supporting vendor relationships, promotional activities, reporting, and cross-functional communication that help bring products and programs to life. This is an entry-level role with the opportunity for growth

Hours: Monday- Friday 8:30 am- 5:00 pm 

Location: Easton, PA 

Pay: $19.00/hour

What You'll Do

As a Merchandise Coordinator, you will provide administrative and tactical support to the Merchandising team while helping maintain strong and profitable vendor relationships.

Key Responsibilities

  • Partner with internal teams including Finance, Sales, Marketing, Supply Chain, Pricing, Purchasing, Customer Care, and Accounting to support merchandising initiatives.
  • Coordinate promotional programs from setup through vendor billback processing.
  • Schedule meetings, trade shows, appointments, and special events while preparing reports, presentations, graphs, and supporting materials.
  • Gather, analyze, maintain, and distribute reports that support category and business decisions.
  • Perform new item setup, purchase order tracking, promotional documentation management, and system maintenance.
  • Coordinate communication and execution of category plans, promotional launches, training materials, and key project milestones.
  • Process monthly, bi-monthly, and quarterly vendor billbacks, including data analysis, invoicing, reconciliation, and payment processing.
  • Calculate vendor and company promotional cost-sharing agreements accurately.
  • Audit promotional transactions and investigate discrepancies, pricing issues, and billing concerns.
  • Monitor vendor aging and collection activities.
  • Serve as the primary contact for vendor billback questions and payment inquiries.
  • Analyze vendor billback trends and provide insights to the Merchandising team.
  • Provide promotional tracking information to Marketing and Brand Management teams.
  • Maintain professionalism, confidentiality, and strong working relationships with internal and external partners.
  • Assist with additional projects and responsibilities as assigned.

Qualifications

  • High School Diploma or GED required.
  • Bachelor's degree preferred.
  • 2-4 years of professional office or administrative experience required.
  • Advanced Microsoft Excel skills required.
  • Proficiency in Microsoft Word and Outlook.
  • Strong keyboarding and data entry skills.
  • Excellent analytical, organizational, and problem-solving abilities.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • AS400 experience is a plus.
