Key Responsibilities

  • Provide high-level administrative support to the President and Senior Leadership.

  • Manage complex executive calendars, meetings, and priorities.

  • Coordinate Board of Directors and executive meetings, including agendas and materials.

  • Prepare executive correspondence, presentations, and confidential reports.

  • Handle highly sensitive information with discretion and sound judgment.

  • Coordinate travel, logistics, and expense management.

  • Support special projects and strategic initiatives as assigned.

Maintains the highest level of confidentiality at all times. Adheres to hospital policies, procedures, and standards of conduct. Demonstrates ethical business practices and personal actions aligned with corporate compliance and integrity guidelines. Maintains composure, effectiveness, and flexibility
under pressure. Utilizes Microsoft Office applications to prepare reports, presentations, correspondence, and other written materials. Gathers, compiles, and organizes data for reports and presentations. Coordinates meetings, appointments, conferences, and events, including location, catering, audiovisual needs, materials, notifications, and logistics. Records, transcribes, and
distributes meeting minutes. Answers and screens incoming calls, routes calls appropriately, takes messages, and responds to inquiries related to DCH services. Opens, sorts, and distributes incoming mail; sends and forwards materials using the hospital tube system, couriers, U.S. Mail, and delivery
services. Greets visitors, determines the nature of their business, and escorts them to the appropriate person or area. Orders office supplies and equipment using the Workday online ordering system. Prepares check requests and secures required approvals for invoices in accordance with accounting
department procedures. Arranges inbound and outbound travel and prepares and submits related expense reports. Schedules appointments and prepares itineraries for visiting physicians, leaders, and staff during onsite visits. Assists with the coordination and execution of special events.
Supports the Ethics and Compliance Program by scheduling meetings and preparing minutes and
required reports. Serves as the Safety Monitor for the Administration Department; attends monthly safety meetings and educates department staff on safety updates and changes.

Education and/or Experience:

Bachelor's degree (B.A.) from four-year college or university; or three to five years related experience and/or training; or equivalent combination of education and experience.
