Job DetailsJob Location: Edmond, OK 73034Position Type: StudentSalary Range: $11.00 - $11.00 HourlyJob Category: OTRS IneligiblePosition Overview This is an off-campus, Federal Work Study Program (FWSP) student clerical position which serves as the Front Desk Administrative Assistant with Edmond Fine Arts: Edmond Fine Arts is seeking a friendly, organized, and proactive Administrative Assistant to support our front desk operations. As the first point of contact for visitors, students, and callers, this role is essential to creating a welcoming and professional environment. You will have the opportunity to learn about working in the arts sector while gaining important experience and enjoying a creative atmosphere! In this position you will gain experience working in a nonprofit arts organization, professional customer service and administrative experience, exposure to event planning and community engagement, training in office software and nonprofit management systems, mentorship from experienced nonprofit professionals, and opportunity to build transferable skills in communication, organization, and problem-solving.   Hours per Week As needed by Edmond Fine Arts, up to 25 hours per week, maximum, during fall and spring semesters and up to 35 hours per week, maximum, during summer semesters and breaks: Monday-Thursday, 3:00pm-7:30pm (required). Friday, 9:00am-1:00pm (flexible, not required). There will always be opportunity for additional hours, but the commitment to Monday-Thursday hours is a must.   Outside Agency (Off-Campus) Edmond Fine Arts.   Department Specific Job Functions Greet and assist clients, students, and visitors with warm and professional demeanor. Answer and direct incoming phone calls; take and relay accurate messages. Maintain a clean, organized, and welcoming front desk area. Sort and distribute incoming mail and deliveries. Monitor office and classroom supplies; track inventory and relay supplies needs. Restock classroom materials and support supply distribution for instructors. Assist with general administrative tasks such as data entry, filing, copying, and scanning. Provide event support for gallery openings and special events (e.g., set up, guest assistance). Assist staff, instructors, and department heads with administrative tasks as needed. Communicate important updates to staff, families, and the general public when needed. Update the classroom schedule posted outside each door daily before leaving. Assist with student registrations and customer inquiries using Sawyer software.   Enrollment Requirements Fall/Spring Semesters: All student employees must be enrolled at least half-time to be eligible to work any UCO student position. Half-time enrollment for fall/spring semesters is considered 5 hours for graduates and 6 hours for undergraduates. F1/J1 Visa students must be enrolled full-time to be eligible to work as a student employee. Full-time enrollment is 9 credit hours for graduates and 12 credit hours for undergraduates. Summer Semester: To work in a regular student position during the summer semester, students must be enrolled in at least 3 summer credit hours or be enrolled in the upcoming fall semester in the minimum credit hours required for their classification and employment type. Students enrolled in fewer than 3 summer credit hours will be subject to FICA taxes during the summer term, which apply to both the student and the department. For Federal Work Study Program (FWSP) positions, students must be enrolled in at least 6 credit hours (undergraduate) or 5 credit hours (graduate). Note: New incoming students are not eligible for student employment until the semester in which they begin classes. Enrollment Exception: If the number of credit hours needed to graduate is less than the minimum number of hours required for student employment, the student must obtain a letter from their Academic Advisor (stating the number of hours needed to graduate and anticipated graduation date) and submit it to Human Resources. This pertains to both regular and Federal Work Study Program positions. Contact jobs@uco.edu for more information.   FWSP Requirements To be considered for Federal Work Study Program (FWSP) employment, you must be awarded work study through the Office of Financial Aid & Scholarships. Please be aware, the summer FWSP award is a separate application process, and is not included with the fall/spring FWSP award. Contact Financial Aid for more information. Enrollment requirements for FWSP employment are the same each semester. Undergraduates must be enrolled in a minimum of 6 credit hours, and Graduates must be enrolled in a minimum of 5 credit hours. If a student is enrolled in their final semester and the number of credit hours needed to graduate is less than the minimum number of hours required for student employment, the student must obtain a letter from their Academic Advisor (stating the number of remaining credit hours needed to graduate and the anticipated graduation date) and provide the letter to the hiring department for submission to Human Resources. Contact jobs@uco.edu for more information.   Qualifications/Experience Required High school diploma or equivalent required.   Qualifications/Experience Preferred 1+ year of experience in a front desk, receptionist, or administrative role preferred.   Knowledge/Skills/Abilities Strong communication skills—both verbal and written. Excellent organizational skills with the ability to manage multiple tasks at once. Comfortable using Microsoft Office (Word, Excel, Outlook) and general office equipment. Creative thinker with a passion for the arts and community engagement. Positive attitude, friendly, and a team-oriented mindset.
