SUMMARY:    

Switchboard Operator must have great customer skills and able to respond in urgent situations on a calm manner. Includes answering incoming calls, greeting callers, providing information, transferring calls and/or taking messages as necessary. The switchboard operates communication systems, such as telephone, switchboard, intercom, two-way radio, and dispatch to public emergency systems. 

 

ESSENTIAL FUNCTIONS:

  1. Processes incoming and outgoing telephone calls efficiently, politely, and as quickly as possible.
  2. Pages medical staff, surgical teams, disaster and emergency codes with clarity in a calm manner. 
  3. Refers to hospital directory, determines station number of person being called, and connects caller as quickly as possible.
  4. Places all long distance calls for patients and visitors, and physicians when necessary.
  5. Maintains monthly code logs for statistical purposes. 
  6. Takes payments from patients when cashier is not available.   
  7. Responsible for keeping logbooks on distributions of keys.
  8. Monitors the Simplex System Fire Alarm and various miscellaneous panels and calls the appropriate dispatchers for emergent situations when necessary. Usage of handheld radio system.
  9. Cross trained for registration check in process for coverage.
  10. Cross trained for Concierge coverage.   

 

 

OTHER RESPONSIBILITIES:

  1. Customer Service, able to communicate politely and informative with customers. 
  2. Alternate duties performed by the Switchboard Operator will include taking messages when necessary.
  3. Send urgent internal messages to hospital personal via EverBridge system. 
  4. Temporary support for Registration as needed.
  5. Assists with miscellaneous paper work in Registration areas, i.e., responsible for keeping IP Packet Supplies and stocked for registration staff.
  6. Places orders for office supplies. 
  7. Runs weekly reporting assigned by management such as, pre-admitted list, AR reporting, additional duties includes sorting incoming faxes and distributing. 
  8. Assist with daily cash deposits. 
  9. Training of new personal for PBX Duties
  10. Performs similar job related duties as assigned.
  11. Utilizes the HIS Affinity system to its full capacity via CRT.   Continues to grow in the use of the computer as its capabilities expand.

 

 

SUPERVISORY RESPONSIBILITIES: none 

 

EDUCATION, KNOWLEDGE, SKILLS, ABILITIES, AND EXPERIENCE: 

  1. Must have a high school diploma or equivalent education/work experience; on-the-job equivalent training on the PBX applies.
  2. Must be bilingual (Spanish/English)

PHYSICAL REQUIREMENTS:

  1. Sits, stands, bends, lifts, and moves intermittently during working hours.  Visual and hearing acuity pertinent to communicating with customers.
  2. Clear speech, pleasant voice, and good hearing are required to get information from callers and to page individuals over the public address system.  
  3. Motor coordination is required to handle electronic board and external Motorola system.  
  4. Needs patience to receive, relay, and place phone calls continually throughout the day, in accordance with hospital policies and prescribed methods of PBX operations.
