POSITION SUMMARY INFORMATION: DUTIES AND REQUIREMENTS
Position Overview: In this role, you will oversee the daily administrative operations of the detention facility while supervising administrative personnel responsible for records management, scheduling, reporting, documentation, and office support functions. You will ensure administrative tasks are completed accurately, efficiently, and in compliance with government detention standards, company policies, and operational procedures. This position requires strong leadership, organization, professionalism, and the ability to manage multiple priorities within a fast-paced detention environment.
Responsibilities:
- Supervise administrative staff and coordinate daily office operations, clerical support activities, and records management functions.
- Assign workloads, monitor productivity, and ensure administrative responsibilities are completed accurately and on time.
- Review reports, correspondence, resident records, operational documentation, and administrative files for accuracy and compliance.
- Coordinate schedules, meetings, training activities, and administrative support functions for supervisors and facility leadership.
- Train personnel on office procedures, data entry systems, confidentiality requirements, and reporting standards.
- Maintain organized filing systems and ensure sensitive information and operational records are properly secured.
- Support audits, inspections, compliance reviews, and operational reporting requirements by preparing administrative documentation.
- Monitor office supply inventories, equipment usage, and procurement requests to support uninterrupted operations.
- Coordinate communication between departments, detention personnel, contractors, and outside agencies to support operational efficiency.
- Ensure all administrative operations comply with government detention standards, company policies, and confidentiality requirements.
Qualifications:
- Must possess a minimum of ten (10) years of relevant experience.
- Must possess a minimum of three (3) years of supervisory experience.
- Must possess experience within a detention, prison, correctional, or similar environment.
- Bachelor's Degree preferred.
- Must be able to provide proof of citizenship or legal US work authorization.
- If prior active-duty military, must provide copies of DD214(s) showing discharge condition.
- Must consent to fingerprinting.
- Must be at least 21 years of age.
- Must possess a high school diploma or equivalent
- Clean criminal record and ability to pass a comprehensive background check and security screening.
- Ability to pass a preemployment medical assessment and drug screening.
- Excellent communication, observation, and report-writing skills.
- Ability to remain calm and effective under pressure and in high-stress situations.
- Ability to work flexible shifts, including nights, weekends, and holidays.
Work Environment:
Employees may be exposed to extreme cold or hot weather conditions, fumes, or airborne particles, toxic or caustic chemicals, and loud noise.
Physical Requirements:
Employees may be required to remain in a stationary position, stand, push, pull, climb, kneel, crawl, balance, squat, bend, and reach. Employees may be also required to use gear to move items around, including, but not limited to, carts and dollies. Employees may also be occasionally required to lift and/or move up to 49 pounds.
