Full-time, Salaried Position + Profit Sharing Bonus

Position Overview

Advantax is seeking an Accounting Manager to support and evolve our finance function as the business continues to grow. This role is a blend of accounting ownership, operational finance, and process improvement.

The Accounting Manager will own the month-end close process, oversee core accounting operations, and develop and propose improvements to how financial and operational data are organized and used. This role will work closely with leadership to enhance reporting, support internal analysis, and build more efficient processes across accounting, billing, and cash management.

This is a hands-on role in a growing organization. While there is significant opportunity to improve processes and build structure, the role may also require a willingness to step into execution when needed, particularly during peak periods such as year-end billing.

Key Responsibilities

Accounting Operations & Close

  • Own and manage the monthly close process, including timeline, coordination, and review of deliverables 
  • Review journal entries, account reconciliations, and variance analyses 
  • Ensure accuracy and completeness of financial statements 
  • Support development and documentation of accounting policies and procedures 
  • Provide day-to-day guidance and support to Staff Accountant 
  • Coordinate with external accounting and tax advisors to support year-end reporting, tax filings, and related requests, with increasing ownership over time

Financial Reporting & Data Structure

  • Maintain and enhance internal financial reporting, including P&L structure and management reporting 
  • Develop and propose improvements to financial data structure within QuickBooks to better support reporting needs
  • Work with Staff Accountant to reduce reliance on manual Excel processes through more structured system-based reporting 
  • Ensure consistency and reliability of financial data used for internal reporting

Operational Finance & Profitability Support

  • Support and contribute to development of client-level profitability and margin analysis
  • Organize and extract financial and operational data needed to evaluate
    • Revenue by client and service line 
    • Cost per employee / cost allocation 
    • Productivity metrics (hours, output, etc.) 
  • Partner with CFO and operations to ensure financial and operational data inputs are available and reliable 

Billing Process & Revenue Support

  • Help manage and drive improvements to the year-end billing process, including coordination of inputs from multiple sources 
  • Assist in building a more structured and repeatable billing model for forecasting and invoicing 
  • Participate directly in billing execution during peak periods as needed 

Treasury & Banking Operations

  • Support administration of banking platforms, including: 
    • User access and permissions 
    • Initiation and approval of inter-account transfers (within established controls) 
  • Support improvements in cash management processes, including cash visibility across accounts and operational workflows 
  • Support cash flow tracking and forecasting 
  • Assist in improving working capital tracking and overall balance sheet visibility

Payroll & Compensation Support

  • Oversee payroll processes, including coordination of inputs such as commissions, bonuses, salary adjustments, time-off data, and hourly employee timesheets 
  • Partner with HR and/or internal staff to ensure payroll, benefits, and time tracking data are accurate, complete, and aligned across systems 
  • Review payroll outputs for accuracy and ensure proper accounting and reporting within the general ledger 
  • Support allocation of payroll and benefit costs for internal reporting, including cost per employee and profitability analysis 
  • Assist in improving payroll, time tracking, and HR-related workflows, including integration with HR systems 

Process Improvement & Cross-Functional Support

  • Identify, develop, and implement process improvements across accounting, billing, and reporting workflows 
  • Assist in development of SOPs to improve consistency and scalability 
  • Partner with operations teams to enhance reporting, visibility, and control processes related to cash management activities
  • Support HR and leadership with analysis related to payroll, benefits, and vendor costs 

Qualifications

  • Bachelor’s degree in Accounting 
  • 4-5+ years of relevant experience in accounting or finance roles 
  • Strong understanding of GAAP and core accounting principles 
  • Experience owning or significantly contributing to a month-end close process 
  • Experience working with or improving financial reporting and data structures 
  • Proficiency in Microsoft Excel 
  • Strong organizational and problem-solving skills 
  • Ability to work across teams and manage multiple priorities 

Preferred Experience

  • Exposure to operational finance, reporting, or profitability analysis 
  • Experience improving or building processes in a growing organization 
  • Comfort working with systems in various stages of development and evolving processes 
  • Familiarity with QuickBooks

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
