Position Summary

The Office Manager serves as the primary administrative support person for the Elgin campus, helping ensure effective communication, office operations, ministry support, and facility coordination. This role requires strong organizational skills, attention to detail, excellent communication, and a heart for serving both the church congregation and the surrounding community.

Schedule: Part-Time (approximately 20-30 hours per week)

 

JOB DUTIES

Communications

  • Receive and route incoming calls, emails, social media messages, and other communications in a timely and gracious manner.
  • Welcome and assist visitors, directing them to the appropriate staff member or ministry leader.
  • Maintain the campus calendar and stay informed of church activities and events.
  • Update the campus website and communication platforms as needed.
  • Coordinate church correspondence, mailings, and Sunday service information.
  • Compile and report attendance, service statistics, and other required ministry data.

Administrative Support

  • Provide administrative support to the Campus Pastor and ministry leaders.
  • Maintain Planning Center and other church records and databases.
  • Prepare, print, and distribute ministry materials, bulletins, signage, and event resources.
  • Assist with preparation for membership classes, baptisms, communion services, child dedications, weddings, funerals, and other ministry events.
  • Process weekly offerings and complete required documentation for Central Services.
  • Manage purchase orders, invoices, check requests, expense reports, petty cash, and related administrative processes.
  • Coordinate communication and reporting requirements with New Life Central Services.
  • Maintain office files, records, equipment, and supplies.

Facilities & Ministry Support

  • Coordinate facility scheduling and building-use requests.
  • Serve as the primary liaison between the church and building tenants, assisting with communication, scheduling, and facility-related needs.
  • Support logistical needs for Sunday services, ministry activities, and special events.
  • Coordinate vendors, maintenance requests, and facility-related services as needed.
  • Help ensure church facilities, equipment, and supplies are ready for ministry use.
  • Perform other duties as assigned in support of the mission and ministry of New Life Community Church.

 

SKILLS & QUALIFICATIONS

Spiritual Qualifications

  • Active member of New Life Community Church with a strong commitment to its mission, vision, and values.
  • Demonstrates professionalism, integrity, spiritual maturity, and a servant-hearted attitude.

Experience & Technical Skills

  • Administrative office experience preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with Planning Center or similar database software preferred.
  • Familiarity with Canva, social media platforms, and website management.
  • Basic graphic design skills are a plus.
