Description

The Parts and Inventory Clerk is responsible for maintaining accurate inventory levels of parts and supplies within the shop. This role supports daily operations by ensuring mechanics have access to the correct parts, tracking incoming and outgoing inventory, and assisting with order placement and vendor communication. The Clerk plays a key role in ensuring inventory integrity, minimizing downtime, and supporting efficient shop operations.

Inventory Management

  • Receive, label, and stock incoming parts and materials
  • Track part usage and update inventory records in real-time
  • Perform regular cycle counts and reconcile discrepancies
  • Maintain organized and clean parts storage areas
  • Monitor low stock levels and assist in reordering

Parts Ordering & Vendor Coordination

  • Assist with placing orders for parts and shop supplies
  • Communicate with vendors to check availability, pricing, and lead times
  • Follow up on outstanding orders and returns
  • Maintain accurate purchase order and invoice documentation

Shop Support

  • Issue parts to mechanics and accurately record usage
  • Assist with tool tracking and basic shop supply inventory
  • Support maintenance team by locating and staging parts for scheduled repairs
  • Provide status updates on backordered or special-order parts

System & Documentation

  • Maintain data accuracy in TMT or other maintenance software
  • File and organize part receipts, warranties, and vendor records
  • Assist with monthly inventory reporting and audits
  • Help generate inventory usage reports for management


Requirements

Education/Experience

  • High School Diploma

Language Ability

  • Fluent in English (reading, writing, speaking) is required.
  • Ability to read and comprehend simple instructions, short correspondence and memos. 
  • Ability to write simple correspondence.  
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Math Ability

  • Strong mathematical skills and attention to detail.
  • Excellent written and verbal communication skills in English.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated problem-solving skills and ability to handle confidential information with discretion.

Reasoning Ability

  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Excellent organization, attention to detail, and follow-through skills.
  • Ability to maintain confidentiality and manage sensitive information appropriately.
  • Computer Skills
  • Proficiency in accounting systems, Microsoft Excel, and standard office software.
  • Ability to learn and utilize additional software applications as required.
