Position Summary:

The KIG HR tam is seeking a detail oriented and analytical Benefits Specialist to join our team! This role is responsible for supporting the administration of our employee benefit programs, with a particular focus on 401(k) plan administration, benefits billing and reconciliation, and benefits integration activities related to acquisitions. The ideal candidate enjoys solving complex problems, managing compliance matters and possesses strong financial skills.  This position plays a critical role in ensuring accurate benefit administration, maintaining compliance and best practices, and supporting financial controls while delivering a positive employee experience during periods of organizational growth.


Key Responsibilities:

401(k) & Benefits Administration

  • Administer and support all aspects of the company's 401(k) retirement plan.
  • Coordinate employee enrollment, eligibility, contribution changes, loan requests, distributions, and hardship withdrawals.
  • Partner with payroll to ensure accurate and timely processing of employee and employer contributions.
  • Conduct regular audits and reconciliations of participant data, contributions, and plan records.
  • Serve as the primary liaison with recordkeepers, investment advisors, auditors, and third-party administrators.
  • Support annual nondiscrimination testing, Form 5500 preparation, plan audits, and compliance activities.
  • Assist with employee education initiatives and retirement planning communications.
  • Manage monthly benefits invoicing processes across medical, dental, vision, life, disability, and voluntary benefit plans.
  • Reconcile carrier invoices against payroll deductions and enrollment records.
  • Investigate and resolve billing discrepancies with vendors, payroll, finance, and employees.
  • Develop and maintain procedures and controls to ensure billing accuracy and compliance.
  • Produce reporting and analysis related to benefits spend, enrollment trends, and vendor performance.
  • Support budget planning and benefit cost forecasting activities.

Acquisition and Integration Support

  • Participate in due diligence activities for mergers, acquisitions, and business integrations.
  • Review benefit plans, retirement programs, employee census data, and vendor agreements during acquisition processes.
  • Identify compliance risks, transition requirements, and integration opportunities.
  • Coordinate employee benefit transitions for acquired organizations.
  • Assist with benefit harmonization projects and post-acquisition integration efforts.
  • Support data collection, employee communications, enrollment activities, and HRIS integrations.


Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, Finance, Accounting, or related field.
  • 5+ years of benefits administration experience, including 401(k) administration.
  • Experience managing benefits billing, reconciliation, and vendor invoicing.
  • Strong Excel and data analysis skills.
  • Experience working with payroll, HRIS, and benefits administration systems.
  • Strong attention to detail and ability to manage sensitive and confidential information.


Work Environment:

This is a fully remote position and can be based in any state that Kodiak Interiors Group has a physical presence (preferably CO or TX). Some travel may be required to support acquisition integration (less than 15%).
