The Human Resources Assistant provides administrative and clerical support to the Human Resources Department and serves as the first point of contact for employees, applicants, visitors, and external stakeholders. This position supports departmental operations through management of communications, scheduling, recordkeeping, correspondence, and routine administrative processes. The Human Resources Assistant handles sensitive and confidential information while ensuring a professional and positive experience for internal and external stakeholders.

Essential Functions:

  • Own and manage the Human Resources department email inbox and telephone line, ensuring timely, accurate, and professional communication
  • Greet visitors and employees, providing professional and welcoming experience while directing inquiries as needed
  • Serve as an initial point of contact for general HR inquiries, ensuring timely and accurate responses or escalation
  • Schedule meetings, appointments, and coordinate logistics for HR-related activities
  • Prepare and distribute HR reports and communications for internal leadership and external stakeholders, ensuring accuracy and professionalism
  • Maintain calendars for the National Human Resources Director and National Human Resources Manager
  • Prepare routine correspondence, letters, reports, presentations, and departmental communications
  • Support HR reporting needs, including compiling and distributing recurring and ad hoc reports
  • Maintain HR files, documentation, and filing systems (electronic and physical), ensuring accuracy and confidentiality
  • Oversee record retention and destruction processes in compliance with organizational policies and legal requirements
  • Maintain and organize shared drives (e.g., G:\ drive) and HR documentation repositories
  • Ensure proper documentation and recordkeeping for HR processes and transactions
  • Conduct new hire tours of National Headquarters
  • Assist with onboarding logistics and new hire orientation preparation
  • Assist with employee recognition, service awards, and departmental events
  • Order office supplies, printed materials, and other departmental resources
  • Enter requisitions and invoices as assigned
  • Support HR projects and administrative initiatives
  • Maintain confidentiality of employee and organizational information
  • Other duties as assigned

Essential Skills and Experience:

  • High School Diploma or equivalent required
  • Associate degree preferred
  • Two years of administrative support experience preferred
  • Strong customer service and communication skills
  • Microsoft Office proficiency
  • Strong organizational and time management skills Excellent verbal and written communication skills
  • Strong interpersonal and customer service skills
  • High level of professionalism and discretion with confidential information
  • Strong organizational skills with attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Experience working with shared drives and document management systems
  • Ability to problem-solve and appropriately escalate issues

  • Physical Demands: Job requires sitting up to eight hours a day and standing up to two hours a day. Body movement primarily in hand and arm functions associated with normal office activities. Hand and eye coordination, and hand dexterity is required for handwriting and keyboarding over prolonged periods of time. This position requires occasional lifting and/or carrying of no more than 25 pounds, and bending, squatting pushing and pulling.
  • Work Environment: The noise level in the work environment is usually minimal
