Position SummaryÂ
The administrative assistant supports daily office operations to ensure efficiency and organization. This role serves as the first point of contact for visitors and employees when coordinating schedules, meetings, travel and company events.  Â

Essential Duties & ResponsibilitiesÂ
Greeting and assisting visitors in a professional mannerÂ
Maintain and organize common office areasÂ
Schedule travel arrangements for employeesÂ
Collect, sort, and distribute incoming and outgoing mail Â
Organize and schedule meetings and appointmentsÂ
Order, track, and maintain office suppliesÂ
Coordinate office cleaning and maintenance as neededÂ
Order and coordinate meals for meetings, training classes, and eventsÂ
Submit accurate and timely expense and procurement reports with receipts and approvals. (by 1st day of closing) Â
Attend safety meeting and complete 2 Behavioral- Based Safety forms (BBS)Â
Assist in planning, coordinating and attending all company eventsÂ
Distribute and assist in programming employee key cardsÂ
Assist with vehicle / trailer registrations and related documentationÂ
Provide assistance with Geotab reportingÂ
Ensure bulletin board and internal communications are current and accurateÂ
Coordinate with local organizations to provide volunteer opportunities to employeesÂ
Serve as Emergency Office Coordinator and assist with emergency preparedness effortsÂ
Perform additional duties as assignedÂ

Education, Experience and TrainingÂ
High school diploma or GEDÂ
Minimum two years of administrative assistant or related experienceÂ
Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and Adobe AcrobatÂ
Knowledge of office management systems and proceduresÂ
Strong verbal and written communication skillsÂ
Excellent organizational skills and time management skillsÂ
Valid Driver's License, with Motor Vehicle Record (MVR) within the acceptable parameters of Company Policy requiredÂ
Ability to read, write, speak, and understand English
Physical DemandsÂ
Ability to lift boxes not to exceed 35 lbs.Â
Ability to sit or stand for long periods of time as neededÂ
Must be able to work under pressure and occasionally long or irregular hoursÂ
Travel requirements, up to 10%Â
