ADMINISTRATIVE SUPPORT SPECIALIST

 BB&E is an employee-owned full service civil and environmental engineering and consulting firm, headquartered in Northville, Michigan, which services both the Federal and Industrial sectors throughout the United States. BB&E team members provide Environmental Consulting, Facilities Engineering and Program/Project Management Services to Federal and private sectors.

Position Summary

BB&E is seeking a dynamic and detail-oriented Administrative Support Specialist to join our team, to support the environmental restoration program at Travis AFB, CA. 

Job Duties & Responsibilities
  • Communicate scientific or technical information by telephone, in written form, email, and in person
  • Manage meeting logistics that includes organizing and preparing meeting materials, facilitating/briefing meetings, and preparing meeting minutes and action items reports
  • Prepare and coordinate status reports to supervisor and government POC(s) in written form and email
  • Experience in using computer hardware, peripherals, and standard computer software programs such as Microsoft Office Applications, SharePoint, and Adobe Acrobat (PDF Editor & Creator)
  • Demonstrate a high level of proficiency in the use of the English Language in oral and written format
  • Organize and prioritize multiple tasks, maintain records, and work with interruptions to accomplish work
  • Observe, receive, obtain, and integrate information from multiple sources to consolidate and format
  • Provide quality control for work products and resolve any issues identified
  • Coordinate/create project documentation that complies with business rules and governing standards
  • Consolidate input from AFCEC/CZP Branch staff for monthly newsletters
  • Incorporate all comments and submit the newsletter to the Government upon approval
  • Consolidate AFCEC/CZP Branch inputs for WARS prepared in accordance with (IAW) the AFCEC/CZP Business Rule on weekly/monthly activity report
  • Consolidate information to prepare a weekly quad chart containing items of importance
Key Qualifications
  • U.S. Citizenship is required.
  • Knowledge and Competencies
    • Office communication, verbally or in written format
    • Meeting preparation, coordination, and execution
    • Proficient with the entire Microsoft Office suite including Microsoft Word, Excel, PowerPoint and Outlook in addition to Adobe Acrobat, InDesign, Photoshop, and Illustrator
    • Time management
  • Strong Communication Skills: Excellent verbal and written communication skills.
  • Software: Proficiency using MS Office Suite Applications, SharePoint, and Adobe Acrobat.
  • Self-Starter: Highly motivated, with the ability to manage multiple tasks and deadlines autonomously.

 

Experience & Education
  • Experience
    • Must have at least ten (10) years of experience in administrative work with a High School Diploma or equivalent.
    • At least five (5) years of experience in administrative work with an Associate’s Degree.
    • At least three (3) years of experience in administrative work with a Bachelor's Degree.
  • Education: A minimum of a High School Diploma or equivalent is required.
Physical Requirements
  • Ability to stand, walk, and sit for long periods of time.
  • Ability to talk or hear, both in person and by telephone.
  • Ability to use hands to handle or feel objects or controls and reach with hands and arms.
  • Regularly required to stoop, kneel, bend, crouch.
  • Ability to lift up to 25 pounds.
