Executive Assistant

Onsite, Fairfield ME

 

Position Summary: The Executive Assistant provides high-level administrative support in a well-organized and timely manner. This role works closely with Senior Leadership, with a primary focus of support to the Chief Executive Officer to manage day-to-day operations, organize priorities, and ensure effective communication across the organization. This position will work in a multi-priority environment by keeping information, decisions, and action items organized, tracked, and advancing. This position is full-time onsite, at our Fairfield Business Office location.

Responsibilities:

  • Act as the point of contact between CEO and other members of the Senior Management Team, internal teams, external partners, and Board Members
  • Directly work on a broad set of assignments in support of the CEO and the business
  • Work independently and with small teams on cross functional corporate projects
  • Manage calls, correspondence, requests, and expense submission
  • Coordinate and maintain calendars, meetings, appointments, and travel arrangements
  • Prepare Board Meeting pre-reads, report materials, and support other Board-related activities
  • Attend leadership and cross-functional meetings to capture general minutes, key decisions, and action items
  • Track ongoing priorities, workstreams, and required action items prompt parties as needed
  • Plan company events and participate in the execution of events
  • Organize materials, documents, and information to support daily workflow
  • Prepare reports, presentations, briefs, and assist with small internal projects
  • Draft and coordinate executive communications, ensuring clarity and consistency
  • Develop and maintain efficient documentation, contract filing, and tracking systems
  • Exercise discretion and sound judgment when handling sensitive information

Education:

  • Bachelor's degree from an accredited college/university or equivalent work experience.

Qualifications & Skills: • Proven experience as an Executive Assistant, Administrator, or similar administrative role • Strong organizational skills with the ability to manage multiple priorities in a fast-moving environment • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Planner, Teams) • Experience with business tools such as Salesforce/CRM, Sage/Finance , Concur/Expense Reports, Adobe, or similar systems preferred • Strong written, and verbal communication skills with the ability to create clear, concise summaries • Excellent planning, time management, task follow through, and presentation skills • Ability to adapt to multiple working styles, anticipate needs and prioritize effectively • Project Management experience and skills preferred • High level of discretion, professionalism, and confidentiality

Physical Requirements: • Must be able to move, manipulate, and operate computer equipment • Capable of sitting for prolonged periods of time • Ability to bend, pull, and lift (up to 15 lbs. occasionally)
