Coordinator, Chief of Staff

Job Description:

 

We are seeking a dynamic Coordinator, Chief of Staff to play a pivotal role in both operational and enterprise-level initiatives. Reporting to the Senior Associate, Chief of Staff, you will contribute to the success of our business by contributing to vital corporate reports, tracking progress on key goals and initiatives, and refining company policies and manuals to ensure our continued growth and efficiency.

As an integral member of our team, you will have the opportunity to work across various high-impact activities, gaining valuable exposure to governance, corporate reporting, strategic planning, and internal communications. Responsibilities

Corporate Governance

  • Administers the corporate strategic planning calendar, including scheduling, milestone tracking, and stakeholder communications
  • Assists with managing our governance committee content—coordinating verbal and written communication before and after meetings (agendas, minutes, action items tracking, and maintenance of documentation libraries)
  • Contributes to the preparation and execution of all-hands internal communications
  • Reviews and edits proposed policies and manuals for Chief of Staff approval, and maintains all corporate policies via the HITT intranet

Corporate Planning

  • Contributes to the preparation of the bi-annual board report, including writing and formatting deliverables in Adobe InDesign and PowerPoint
  • Maintains and updates goal trackers and performance reporting, identifying trends, and surfacing potential risks
  • Navigates competing priorities and executes deliverables under deadline pressure with strong follow-through and attention to detail
  • Ensures confidentiality with sensitive information
  • In coordination with the Chief of Staff team, coordinates and determines content for the annual executive leadership conference

Qualifications

  • A four-year degree from an accredited university is preferred but not required

  • A minimum of 1-3 years of related experience in project-based work

  • In lieu of a degree, additional work experience is acceptable

  • Software proficiency—advanced level of proficiency with:

    • Microsoft Office suite (i.e., Excel, Word, Outlook, PowerPoint, etc.)

    • Adobe InDesign (and other Creative Cloud platforms)

  • Able to adapt to and learn how to use project-specific software systems as needed

  • Proven track record of multitasking projects and meeting deliverables

  • Tech savviness, an eye for detail, and meticulous organization skills

  • A high level of professional maturity and a solid work ethic

  • Strong interpersonal and relationship-building skills
