Position Summary

The Business Manager serves as a key operational partner within the medical practice, directly supporting the Director of Operations and Director of Finance. This role is responsible for coordinating business functions across departments, ensuring operational efficiency, accountability, and alignment with organizational goals.

The Business Manager bridges day-to-day operations and leadership strategy by providing reporting, analysis, project coordination, and process improvement support to drive performance and sustainable growth.

Key Responsibilities

Operational Support

  • Partner with the Director of Operations to support practice-wide initiatives, workflow optimization, and cross-functional coordination.
  • Assist in developing, implementing, and monitoring standard operating procedures (SOPs).
  • Track and report on key operational metrics (e.g., patient volume, scheduling efficiency, productivity, service levels).
  • Support vendor coordination and service-level monitoring.
  • Facilitate communication between clinical, administrative, and leadership teams to ensure alignment and follow-through on initiatives.
  • Assist with resource planning and operational capacity tracking across locations.

Reporting & Analytics

  • Develop standardized operational reports and dashboards for leadership meetings.
  • Analyze trends in volume, staffing productivity, scheduling performance, and service delivery.
  • Maintain data integrity across reporting platforms.
  • Translate operational data into actionable insights and recommendations for leadership.

Project Management

  • Support implementation of strategic and operational initiatives.
  • Develop project timelines, milestones, and accountability tracking tools.
  • Monitor progress and escalate barriers to leadership as needed.
  • Assist in change management efforts, ensuring clear communication and adoption across teams.

Compliance & Governance

  • Support adherence to healthcare regulations and internal compliance policies.
  • Assist with maintaining documentation related to policies, contracts, and regulatory requirements.
  • Partner with HR and leadership to ensure operational consistency across locations.

Qualifications

Education & Experience

  • Bachelor’s degree in Healthcare Administration, Business Administration, or related field required.
  • 3–7 years of experience in healthcare operations, medical practice management, or business management.
  • Experience supporting executive-level leaders preferred.

  • Strong analytical and organizational skills.
  • Advanced proficiency in Microsoft Excel and reporting tools.
