About the Role:
Cornerstone Family Practice & Urgent Care is seeking an experienced Practice Administrator to take full day-to-day ownership of clinic operations. This is a hands-on operational leadership position in a busy, independent family practice and urgent care clinic. The successful candidate will anticipate needs, establish reliable systems, address problems promptly, and ensure that work is completed accurately without waiting for the owner to identify every next step.

Responsibilities: 
  • Direct daily clinical and administrative operations, including opening readiness, staffing coverage, patient flow, scheduling, front-desk functions, clinical support, and end-of-day completion.
  • Continuously assess clinic priorities and act with appropriate urgency; distinguish routine work from matters that affect patient safety, compliance, staffing, revenue, or the provider's ability to deliver care.
  • Recruit, interview, onboard, train, schedule, supervise, coach, evaluate, and, when necessary, discipline staff in accordance with practice policy and applicable law.
  • Maintain a practical staffing plan for routine operations, absences, new-provider onboarding, high-volume periods, and unexpected shortages; participate directly in workflow support when needed.
  • Lead daily huddles and regular staff meetings; set clear expectations, document assignments, establish deadlines, and verify that action items are completed.
  • Create, implement, and monitor policies, procedures, checklists, logs, and accountability systems that improve reliability and reduce repeated errors.
Requirements:
  • At least two years of recent medical-practice management experience with direct supervisory responsibility for both clinical support and front-office staff.
  • Demonstrated responsibility for staffing, employee performance, compliance, patient flow, and practice operations—not solely one administrative function.
  • Working knowledge of medical billing, coding, insurance verification, referrals, prior authorizations, denials, and revenue-cycle workflows.
  • Working knowledge of HIPAA, OSHA, CLIA-waived testing, infection control, documentation integrity, and patient-safety expectations.
  • Experience using an ambulatory EHR/EMR and practice-management system; eClinicalWorks experience is strongly preferred.
  • Strong written communication, organization, analytical thinking, conflict-management, and problem-solving skills.
  • Proven ability to prioritize independently, manage multiple deadlines, hold staff accountable, and complete follow-up without repeated reminders.
  • High ethical standards and the judgment to pause and verify information before making clinical, regulatory, payer, payroll, or financial representations.
