Parts Coordinator I

 

Summary: Under the Supervision of the Parts Sales Manager, you will play a crucial role in ensuring the seamless processing of pricing, documentation, credits, ordering, shipping, and record-keeping for all aftermarket parts. Your ability to maintain a warm, professional demeanor will be essential as you engage with representatives, customers, and vendors, fostering a positive environment that enhances our parts delivery.

 

Essential Duties and Responsibilities:

 

  • Provide accurate information regarding the cost and availability of spare parts, ensuring customers receive timely and relevant details.
  • Adhere to company standards and guidelines to efficiently process spare components for our customers, guaranteeing a high level of service and satisfaction.
  • Engage effectively with Sales Representatives and customers through various communication channels, including telephone, fax, and written correspondence, to provide prompt and precise customer service support.
  • Exhibit attention to detail in all aspects of your work, ensuring accuracy in documentation and records.
  • Utilize excellent organizational skills to manage multiple tasks and priorities effectively, contributing to the overall efficiency of the parts sales process.
  • Demonstrate self-motivation and initiative in your role, continuously seeking ways to improve processes and enhance customer experiences.
  • Perform additional duties assigned to support the team and the overall objectives of the department.
  • Document work processes for the area of responsibility, ensuring clarity and consistency in service coordination and data management.
  • Continuously seek opportunities to enhance service delivery, streamline processes, and improve customer satisfaction.

Qualifications / Characteristics:

 

  • Demonstrate commitment to service excellence and a customer first attitude, consistently striving to exceed customer expectations.
  • Excellent verbal and written communication skills, effectively conveying information and building positive relationships with customers, sales reps, PSNs and stakeholders.
  • Professionalism and ability to display patience and empathy in time-sensitive situations, effectively managing customer complaints and resolving issues.
  • Ability to learn and become highly effective in SAP (ERP system).
  • Good decision-making and communication skills, analyzing information, considering alternatives, and conveying messages clearly and concisely.
  • Interest in helping and working with customers, displaying empathy, active listening, and problem-solving skills.
  • Ability to work independently and as a team member, collaborating with colleagues to achieve shared goals and contribute to a positive work environment.

Education / Experience:         

  • 1-2 years in Customer Service
  • Proficiency in Microsoft Office
  • High School Diploma
  • Part Sales experience preferred but not required.

Work Environment:

While performing the duties of this job, the employee is regularly exposed to an office environment in a manufacturing plant.
