The Front Office Supervisor is responsible for overseeing daily front desk operations including check-in, scheduling, and check-out workflows. This role ensures consistent compliance with SOPs, supports team development, monitors quality, and promotes an exceptional patient experience across all radiology front office functions.
Key Responsibilities
Leadership & Oversight
- Supervise and support front desk staff across all front office workflows (Check-In, Scheduling, Check-Out)
- Ensure strict adherence to SOPs and provide real-time coaching and workflow guidance
- Act as the primary escalation point for patient service issues and operational concerns
Patient Experience & Compliance
- Ensure timely, courteous patient greeting and check-in procedures
- Monitor and uphold high-quality interactions between front desk staff and patients
- Confirm collection and upload of accurate ID, insurance, and payment documentation
Scheduling Management
- Oversee accurate patient scheduling, chart documentation, and referral log updates
- Coordinate communication with referring offices for record procurement and scheduling needs
- Maintain adequate coverage and structured hand-offs during shift changes or staff breaks
Documentation & Imaging Release
- Verify completion of imaging studies prior to check-out
- Ensure CD burning is completed per SOP and includes correct labeling and patient information
- Perform routine spot-checks of documentation quality and CD accuracy
Training & Quality Assurance
- Train and onboard new front desk staff on EXA and RadX workflows
- Conduct daily and weekly audits to maintain compliance with SOPs
- Prepare and share reports on trends, compliance gaps, and performance insights with leadership
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred
- Minimum of 2 years of experience in front desk or patient access within healthcare or radiology
- At least 1 year of supervisory or team lead experience preferred
- Proficient in EXA or similar EMR/EHR systems
- Strong organizational, communication, and multi-tasking skills
