Sales Support Specialist – Hyperia
Position Summary
The Sales Support Specialist – Hyperia is a key member of the sales and operations support team, with primary responsibility for supporting the growth of the Hyperia light pole product line and working closely with the sales team.
This position requires an organized, responsive, and customer-focused individual who can manage multiple priorities while providing exceptional communication and sales support. The ideal candidate will be comfortable working with customers, sales representatives, production, and internal team members to ensure that opportunities, quotes, orders, samples, and customer requests are handled accurately and promptly.
A major focus of this position is helping create a memorable and exceptional experience for our customers and sales representatives.
Primary Responsibilities
· Provide day-to-day sales support for the Hyperia light pole product line.
· Work closely with Sales to support sales activities, customer opportunities, representatives, and follow-up needs.
· Create and maintain customer estimates and quotations.
· Convert estimates into sales orders and ensure orders are entered accurately.
· Manage sales order dates, requested ship dates, and other order information to help ensure commitments are clearly communicated and maintained.
· Work regularly within QuickBooks and Method CRM to manage estimates, sales orders, customer information, and sales-related activities.
· Utilize Microsoft Office, including Outlook, Excel, Word, and other applications, to support sales and administrative activities.
· Communicate professionally and promptly with customers, sales representatives, and internal departments.
· Coordinate with operations and production regarding order status, availability, timing, and customer requirements.
· Assemble product literature, samples, and sales materials for representatives and customers.
· Build and maintain sample kits for the Hyperia sales team and representative network.
· Coordinate packaging and shipment of sample kits and sales materials.
· Track sample requests and help ensure representatives have the materials they need to successfully promote Hyperia products.
· Provide general office and administrative support as required.
· Provide backup sales support for the flagpole business when needed.
· Help maintain accurate customer, representative, quotation, and order information.
· Assist with sales follow-up activities and help ensure customer requests do not fall through the cracks.
· Support continuous improvement of sales processes, communication, and customer service.

Qualifications & Skills
· Exceptional verbal and written communication skills.
· Strong organizational skills and attention to detail.
· Ability to manage multiple priorities in a fast-paced environment.
· Strong working knowledge of Microsoft Office.
· Experience with QuickBooks or similar business/accounting software.
· Experience with Method CRM or the ability to quickly learn CRM and sales-order-management systems.
· Experience creating estimates, quotations, and sales orders.
· Strong computer and data-entry skills.
· Ability to communicate effectively with customers, outside sales representatives, production, and management.
· Ability to work independently while also being a strong team member.
· Strong follow-through and sense of urgency.
· Ability to identify problems and help develop practical solutions.
· Positive, professional, customer-focused attitude.
Preferred Experience
· Previous sales support, customer service, inside sales, or order-management experience.
· Experience within a manufacturing or distribution environment.
· Experience supporting outside sales representatives or independent manufacturer's representatives.
· Experience coordinating samples, literature, shipments, or sales kits.
