Position Summary:Â
Greet patients and visitors in a warm and welcoming way, while checking patients in and out using the facility’s practice management system. Collection and posting of patient payments.Â
Essential Job Functions:Â
Greet patients and welcome patients and visitors as they enter the waiting area and as Â
             they depart, screening and directing them appropriately. Â
Maintain the visitor's log/badges for all non-patient visitors who access secured areas. Â
Check patients in and out using the practice management system. Â
Responsible for collecting and posting patient payments with accuracy. Â
Assist patients with their registration in the facility’s electronic medical record (EMR) Â
             system, as needed. Â
Present and explain all policies, forms and consents and obtain signatures.  Â
Collect billing forms and scan into Athena EMR. Â
Obtain insurance eligibility and benefits for office visits and procedures. Â
Schedule/reschedule follow-up appointments for patients to include work-in Â
              appointments. Manage and schedule inbound referralsÂ
Process medical records requests following HIPAA guidelines. Â
Obtain external medical records for patients prior to date of service. Â
Perform Administrative Duties: order supplies and distribute upon arrival, bank deposit Â
             slips. Maintain cleanliness of the lobby and front office area and updated patient Â
             materials and forms used. Â
Monitor the patients as they wait in the lobby for their appointments. Â
Monitor clinic flow: notify patients when the providers are running late, notify providersÂ
              of no shows, and notify lab staff of patients waiting for labs. Â
Open and close the clinic on time. Â
Maintain a professional environment by keeping conversations at a minimum volume so as not to be heard in the waiting room. Â
Exhibit and maintain a high degree of professionalism and decorum in all situations in addition to confidentiality, flexibility, and accountability. Â
Works in partnership with the back-office staff to provide excellent customer service. Â
Other general duties as assigned. Â
Position Requirements:Â
High school diploma or equivalent. Â
2 - 4 years of medical office or clerical experience. Â
Excellent customer service, communication and organizational skills. Â
Understanding of and adherence to HIPAA/confidentiality rules. Â
Accuracy and attention to detail with ability to multi-task. Â
Ability to work effectively in a fast-paced environment. Â
Proficiency in Microsoft Office, such as Word, Excel, Power Point and Outlook. Â
Familiarity with EMR software and previous money handling experience preferred.Â
Physical demands may include: prolonged, extensive or considerable amount of standing/sittingÂ
