The Front Office Coordinator oversees the administrative duties of the facility. The FOC is responsible for moving the patients through the intake and checkout process. Front Office Coordinators communicate with various payer sources to ensure network status, coverage verification, and in some cases, prior authorizations. Front Office Coordinators must interact smoothly with back-office personnel and assist with back-office functions, if needed. This position will be floating between all 3 clinic locations based on need and patient volume. 

Reports to:         Center Manager

Front Office Coordinator Job Duties:

  • Greets patients and visitors in a courteous and friendly manner.
  • Answers the phone. Screens calls, arranges appointments and incoming referrals.
  • Prepares new patient records, files, and maintains records in the EMR.
  • Types correspondence, reports, memos, and forms as requested by physicians and/or administration.
  • Provides some transcription of medical notes.
  • Prepares daily billing packets for billing team.
  • Performs insurance verifications and pre-authorizations, as required.
  • Takes clear and concise phone messages.
  • Schedules and confirms appointments daily.
  • Collects co-pays, deductibles, and previous balances due.
  • Prepares charts for the next day.
  • Maintains inventory and submits front office supply orders to administration.
  • Keeps reception area and waiting room neat and tidy at all times.
  • Distributes mail and handles routine correspondence. Distributes incoming reports and correspondence and files in patient charts or presents to professional staff as appropriate for review before filing.
  • Cross-trains to perform back-office duties when needed.
  • Any other duties relating to the business operation of the medical practice that may be assigned by the physician or administration.
  • Trains new employees in daily office operations.
  • Assists in job interviews and evaluation of prospective employees. 
  • Assists in staffing other USWC clinics as needed for the business needs of the organization.
  • Other reasonable duties as determined by the Center Manager.

Skills/Qualifications:

  • Has 2+ years of experience in outpatient clinical setting
  • H.S. Graduate or equivalent (Bachelor’s degree preferred)
  • Customer Service skills/experience.
  • Ability to comprehend established office routines and policies (as outlined in manual).
  • Ability to keep financial records and perform mathematical tasks.
  • Knowledge of medical terminology.
  • Understand HIPAA and privacy practices.
  • Understands OSHA regulations and infection prevention guidelines in a healthcare setting.
  • Good organizational skills and multi-tasking abilities.
  • Intermediate to advanced computer skills.
  • Able to learn quickly from oral and written instructions.
  • Must be dependable.
  • Type no less than 30 WPM.
  • Medical office experience is REQUIRED
  • Managerial experience, preferred.
  • Must be a Notary or able to obtain Notary within 90 days of hire date.

 •         Can effectively act as a liaison between patients and physicians.
 •         Must have a neat and friendly appearance.
