Alliance Painting is a fast-growing residential painting company seeking a highly organized, detail-oriented Office & Accounting Manager to own our financial administration, payroll, commissions, human resources, fleet, and office operations.  


We need someone who takes ownership, follows through, catches problems early, and can be trusted to keep the keep the business running smoothly behind the scenes


Responsibilities

Accounting & Financial Administration

  • Own accounts payable and accounts receivable, including accurate and timely processing, reconciliations, and follow-through
  • Manage company banking, credit cards, vendor accounts, and financial records
  • Coordinate with company leadership, accounting partners, banks, and vendors
  • Identify and resolve discrepancies before they become larger problems

Payroll & Commissions

  • Own the complete payroll process, including collecting and verifying payroll information, processing payroll accurately and on time, maintaining records, and resolving discrepancies
  • Own commission administration, including calculating and verifying commissions against approved compensation plans, reconciling sales and payment data, preparing reports, and ensuring accurate, timely payouts
  • Maintain accurate compensation records and communicate payroll or commission issues proactively

Human Resources

  • Own HR administration and maintain accurate, confidential employee records
  • Coordinate recruiting administration, onboarding, offboarding, and employee documentation
  • Maintain personnel files, employment forms, acknowledgments, and required records
  • Track employee certifications, training requirements, reviews, and other HR deadlines
  • Administer employee benefits and coordinate with outside HR, payroll, and benefits partners
  • Support leadership with employee relations documentation, corrective actions, and policy administration
  • Ensure HR processes are consistently followed and escalate compliance or employee-related concerns appropriately

Fleet Management

  • Own administration of the company vehicle fleet, including insurance, registrations, maintenance, tolls, vehicle assignments, and required documentation
  • Ensure every new vehicle is properly added to all required insurance, fleet, dash-camera, and telematics systems
  • Verify that vehicle tracking and dash-camera systems are active and functioning
  • Track maintenance, renewals, inspections, and other fleet requirements through completion
  • Coordinate accident documentation, insurance claims, vehicle repairs, and related follow-up
  • Maintain accurate fleet records and ensure company vehicle policies are consistently administered

Office Operations

  • Manage office administration, vendors, supplies, company records, and administrative systems
  • Assist with customer communication, online reviews, and follow-up
  • Track deadlines and open items through completion
  • Proactively identify, resolve, or escalate issues
  • Maintain an organized, professional, and responsive office environment

EOS & Accountability

Alliance Painting operates using the Entrepreneurial Operating System (EOS). The Office & Accounting Manager will be expected to actively participate in our accountability and execution framework, including:

  • Own assigned Rocks and complete them by their deadlines
  • Maintain and report on assigned Scorecard measurables
  • Participate in Level 10 meetings and provide accurate, timely updates
  • Identify, discuss, and solve issues using the IDS process
  • Maintain accountability for assigned To-Dos and commitments
  • Follow documented processes and contribute to improving them as the company scales

What We're Looking For

  • Strong experience in office management, bookkeeping, or accounting administration
  • Experience owning payroll and commission administration
  • Experience with HR administration and employee records
  • Experience managing company vehicles or fleet administration preferred
  • Strong financial accuracy, reconciliation, and attention-to-detail skills
  • Highly organized and comfortable managing multiple priorities
  • Proactive, dependable, responsive, and accountable
  • Comfortable with accounting software, spreadsheets, online banking, and technology
  • Strong communication and problem-solving skills
  • Someone who closes loops and follows through without constant reminders

Experience in construction, home services, or an EOS-operated company is strongly preferred.
