Position Summary (Hybrid Schedule)

The Payroll Specialist is an advanced-level position that is responsible for all payroll functions reporting to the VP of HR. This position requires thorough knowledge of payroll rules and regulations, organizational structure and systems, accounting, auditing and government regulations. Key areas of responsibility include analysis, research and use of judgment in conjunction with the preparation of payroll entries, payroll reporting, year-end W-2 processing and payment of contributions to vendors and plan administrators. Additionally, the Payroll Specialist serves as primary liaison to payroll processing vendors and internal and external auditors. May lead projects and/or act in a liaison capacity between other departments, divisions or outside organizations.

Responsibilities
  • Analyze, audit, prepare and input payroll data using ADP Workforce Payroll system. Process and distribute biweekly payroll in a multi-state environment ensuring compliance with federal and state regulations.
  • Administer ADP Etime System for time and attendance. Includes acting as first point-of-contact for employees on entering time, vacation, sick and personal hours, researching and resolving problems, preparing and maintaining standard and ad hoc reports and conducting audits to ensure data integrity.
  • Process 401K contributions and deferred compensation payments. Includes processing file uploads of election changes, verifying contributions from 401K administrator and processing Medicare deductions on vested deferred compensation. Process wire transfers to plan administrators for both 401K and deferred compensation contributions.
  • Ensure timely and accurate year-end processing of employee W-2's. Includes processing additional income such as taxable relocation expenses, employer portion of deferred compensation and Affordable Care Act employer-sponsored health coverage.
  • Process biweekly file transfer of employee profile changes for company's stock administrator. Post RSU and SAR stock transactions to annual compensation for taxing purposes.
  • Process quarterly report and payments of voluntary deductions to United Way and Energy Independence PAC, as well as required deductions for Pennsylvania Local Services tax.
  • Create and distribute custom reports such as employee headcount, new hires and overtime as requested by various departments to assist in management and business needs and objectives.
  • Oversee all payroll procedures including analysis, design and implementation of changes leading to best practice operations and in accordance with Company policies. Actively identify and assist in implementing new systems and processes, as needed, that ensure continuous improvement in accuracy.
  • Responsible for proper entry of garnishments, tax levies and support orders.
  • Maintain and apply knowledge of federal, state and local legal requirements by studying existing and new legislation. Ensure policies, procedures and reporting are in compliance and advise management on needed actions.
  • Ensure proper data entry and tax set up for internal employee transfers.
  • Other duties and responsibilities as assigned.

Qualifications
Minimum Education - High School Diploma
 
Minimum Experience - 8+ years related, relevant payroll experience; Experience with equity based compensation is a plus
 
Professional Certifications - Certified Payroll Professional (CPP) preferred

Working Conditions: Working conditions vary based on the location of the work performed. Work performed in an office is typically in a climate controlled indoor setting. Work performed in the field may require the employee to be subjected to seasonal field conditions ranging from normal to extreme temperature and weather conditions and employees must be able to work in remote, isolated areas.
