About us:

North Tarrant Infrastructure, LLC is one of the subsidiaries of the Ferrovial Group in the U.S. It is currently working on several projects in the U.S., including the North Tarrant Express (NTE) Projects (ā€œNTE Projectsā€). The NTE Extension Project is a part of the NTE Projects, which consist of a series of major highway improvements to the critical I-820 and SH-121/183 corridor in North Tarrant County, Texas. The NTE Projects will relieve congestion, improve safety, and provide for anticipated traffic growth in one of the country’s fastest developing regions. The NTE First Project was a $1.451 billion design-build project consisting of rebuilding the existing main lanes as well as adding four toll-managed lanes, frontage roads and auxiliary lanes in the corridor between I-35 West and Industrial Boulevard. The NTE Extension Project is the next part of the NTE Projects. The construction of the original $984 million part of the project (Segment 3A) was completed by North Tarrant Infrastructure, LLC, and the current $580.5 million part (Segment 3C) of the NTE Extension Project is presently being carried out by North Tarrant Infrastructure, LLC.

Job Description:

SummaryĀ 

The ProcurementĀ AgentĀ is responsible forĀ supporting the procurement and vendor management process by coordinating contract administration, managing request for proposal (RFP) documentation, ensuring vendor compliance with insurance requirements, andĀ maintainingĀ procurement records. This role works closely with internal departments,Ā andĀ vendorsĀ toĀ facilitateĀ efficient procurement operations, ensure documentation accuracy, and support risk management initiatives.Ā Ā This position requires the ability to interact with staff (at all levels) in a fast-paced environment, whileĀ remainingĀ flexible, proactive,Ā resourcefulĀ and efficient, withĀ a high levelĀ ofĀ professionalismĀ and confidentiality. This position will alsoĀ assistĀ the Procurement Manager & department staff with the required reporting,Ā researchingĀ andĀ maintainingĀ statistical data, as well as overseeing the procurement policy and procedures asĀ required.Ā

Responsibilities:Ā 

Ā 

  • Coordinate and schedule procurement-related meetings with internal stakeholders and external vendors.Ā 

  • SendĀ emails,Ā makeĀ calls,Ā sendĀ noticesĀ to vendorsĀ 

  • CollectĀ and organize contract documentation, including contracts, amendments, change orders, and other procurement-related records.Ā 

  • CollectĀ contract documentation forĀ department Manager reviewĀ and compliance with organizational requirements.Ā 

  • File andĀ maintainĀ procurement recordsĀ in accordance withĀ company policies and document retention standards.Ā 

  • Create & track comparatives in Insite for approvalĀ 

  • Collect and organizeĀ RFPĀ and agreementĀ documents and supporting materials.Ā 

  • Collect current Certificate of Insurance documentsĀ for all vendorsĀ to ensure it meets contract requirementsĀ Ā 

  • ManageĀ and review allĀ vendorsĀ Certificate of Insurance,Ā identifyĀ deficiencies and work withĀ vendorsĀ to obtain compliant statusĀ Ā Ā 

  • Collect vendor W9, NTI department contract documents, certificates to complete NTP checklistĀ Ā 

  • AdministerĀ subcontractor evaluations process with department managers for submittal in Insite systemĀ for approvalĀ 

  • Collect and compile vendor performance data and feedback.Ā 

  • Maintain vendor evaluation records andĀ compliant statusĀ in order toĀ pay invoicesĀ 

  • ObtainĀ vendor andĀ NTIĀ CEO signatureĀ toĀ execute documents in Adobe Sign systemĀ 

  • AttendĀ pre-conĀ meetings to update and inform staff andĀ vendorsĀ on agreement status andĀ missing documentsĀ 

  • Inform vendors about upcoming contract opportunities & update outreach materials/handouts.Ā

Document Management:Ā 

Ā 

  • Update and store department documents on departmentĀ SharePointĀ server systemĀ 

  • Manage Adobe Sign workflows for contracts and procurement documents.Ā 

  • Track signature status and perform follow-up activities to ensureĀ timelyĀ document execution.Ā 

  • OrganizeĀ documentsĀ to be available to NTI Staff and procurementĀ staffĀ byĀ procurement departmentĀ procedureĀ 

  • Prepare department documents for in-person Board of Manager meetings/reportsĀ 

  • UpdateĀ ContractĀ Directory/Procurement Plan/RFP LogĀ

  • Create Summary of ComparativesĀ per requestĀ Ā 

  • Create and develop transaction reports on all contracts on the projectsĀ 

  • Track all completed comparatives for reportingĀ Ā 

  • Create andĀ submitĀ reportsĀ toĀ Procurement ManagerĀ 

Ā 

MinimumĀ Requirements:Ā 

Ā 

  • Minimum ofĀ oneĀ (1) years of experience in similarĀ coordinatorĀ positionsĀ preferred.Ā Ā 

  • Experience working inĀ procurement, contract administration, vendor management, or a related administrative roleĀ preferred.Ā 

  • Bachelor of Science Degree in Business Administration, Procurement, Construction Management, or related field.Ā 

  • Experience working with contract documents, procurement processes, and vendor compliance requirements.Ā 

  • ProficiencyĀ inĀ Outlook,Ā Microsoft Word, Excel,Ā PowerPointĀ andĀ Microsoft Project.Ā 

  • Experience with EBIX or similar insurance compliance platforms preferred.Ā 

  • Ability to pay close attention to detail, ensuring accuracyĀ ofĀ work & complete tasksĀ on time and follow departmentĀ proceduresĀ Ā 

  • Works independently,Ā multitask,Ā manage time and workload, which includes planning, prioritizing, organizing, and following-through on a variety of tasks, assignments, projects, and reports.Ā 

  • Ability to effectively communicate, verbally and in writing, at all levels of the organization and with contractors with tact and diplomacy.Ā 

  • Strong follow-up and vendor relationship management skillsĀ 

  • Present solutionsĀ to managerĀ forĀ issues/problems & scopeĀ requiring throughĀ knowledge of department practices.Ā 

  • Remain operationally focused and obtain knowledge of the organization to balance business priorities, individual team needs, manager’sĀ styleĀ and company policyĀ 

  • Working knowledge of processes, procedures and regulations andĀ theĀ ability to deal with politically sensitive and confidential issuesĀ
