Position Summary:


The Administrative Assistant will provide high-level administrative support to the Chief Legal and Administrative Officer (CLAO) and the broader executive team at Sagimet Biosciences. Operating in a fast-paced, small-company biotech environment, this individual will serve as an important operational resource — ensuring seamless day-to-day workflows, supporting corporate legal and administrative functions, and helping executives focus on strategic priorities. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing confidential information with the utmost discretion. The role reports to the Chief Legal and Administrative Officer. 


Essential Responsibilities:


Corporate & Administrative Operations:

· Manage reception desk function in HQ office for in-office days (currently 2 days per week), greet visitors, coordinate in-office needs. 

· Support Head of IT & Facilities by managing office supply inventory and coordinating with vendors as needed.

· Support planning and logistics for in-office and off-site company meetings and events. 

· Assist with onboarding logistics for new hires and contractors, including coordination of equipment, access, and documentation.


Executive Support:

· Support executives with preparation and formatting of presentations, reports, and correspondence.

· Support calendar management for executives as requested, including scheduling internal and external meetings and coordinating logistics.

· Arrange travel accommodations, itineraries, and expense reporting for executives as needed.


Document & Contract Administration:

· Coordinate with internal stakeholders and legal to facilitate document review and signature processes.

· Ensure executed documents are properly filed, named, and accessible in Sharepoint.

· Initiate, track, and manage DocuSign workflows to ensure timely execution of documents.


Requirements

 

Education and Experience Requirements:

· Bachelor's degree or equivalent combination of education and experience preferred.

· 4+ years of administrative or executive assistant experience; experience supporting legal and/or C-suite executives strongly preferred.

· Experience in a biotech, pharmaceutical, or life sciences environment is a plus.

· Proficiency with DocuSign or similar e-signature platforms required.

· Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

· Experience with contract management systems or document repositories (e.g., SharePoint, Dropbox, or similar) preferred.

· Excellent organizational and time management skills with strong attention to detail.

· Exceptional written and verbal communication skills.

· Ability to handle sensitive and confidential information with the utmost discretion and professionalism.

· Self-starter who thrives in a dynamic, small-company environment with the ability to manage multiple priorities simultaneously.

· Positive, team-oriented attitude with a proactive approach to problem-solving.
