Position Summary

In this role, you will help ensure smooth functioning of legal operations by managing administrative tasks, supporting compliance initiatives, and facilitating timely regulatory filings. You will also play a key role in maintaining clear and professional communication with internal teams and external partners. The ideal candidate is highly organized, proactive, and professional, with the ability to thrive in a fast-paced, deadline-driven environment.

This position is in Frankfort, KY and is onsite five days a week.

Job Responsibilities:

Administrative & Calendar Management

  • Maintain and manage the General Counsel’s calendar, including meetings, deadlines, court dates, renewals, and regulatory filings

  • Coordinate internal and external meetings; prepare agendas and meeting materials

  • Organize travel logistics, expense reporting, and related administrative tasks

  • Monitor and triage email inboxes, prioritizing urgent legal communications

Correspondence & Communication

  • Draft and distribute routine correspondence (letters, memos, status updates)

  • Manage incoming and outgoing physical mail, including certified mail handling and scanning/indexing

  • Serve as a point of contact for regulators, outside counsel, and vendors, as appropriate

Document & Contract Management

  • Maintain digital and physical filing systems for contracts, corporate records, and compliance documents

  • Track contracts, amendments, expiration/renewal dates, and required approvals

  • Assist with preparing board packets, resolutions, and agendas

  • Maintain templates, precedent forms, and checklists for the legal team

Regulatory & Compliance Support

  • Calendar and track state filing deadlines (insurance department filings, annual reports, product approvals)

  • Assist in compiling documents for state insurance department audits or examinations

  • Maintain compliance logs and regulatory records

  • Conduct first-pass legal and regulatory research as needed

Litigation & Subpoena Support

  • Receive, log, and track subpoenas; calendar response deadlines

  • Draft acknowledgment letters and coordinate records collection with business units

  • Maintain case files, litigation hold logs, and subpoena tracking

Operational & Workflow Support

  • Log and track complaints, disputes, and inquiries in tracking software

  • Monitor progress of legal/compliance projects and assignments to business units

  • Maintain trackers for open legal and compliance matters

Complaint & Issue Handling

  • Intake, summarize, and draft preliminary responses to consumer complaints or agent disputes

  • Maintain complaint resolution database and prepare reports on trends

Research & Drafting

  • Prepare memos on straightforward legal/regulatory issues

  • Summarize new bulletins and regulatory updates from state insurance departments

  • Draft comparison charts for multi-state regulatory requirements

Cross-Departmental Coordination

  • Liaise between the Legal Department and business units (claims, compliance, underwriting, operations)

  • Communicate legal and compliance requirements in plain language to non-legal staff

  • Track implementation of new policies, procedures, or regulatory requirements

  • Assist with background checks and licensing reviews for agents

Project & Process Support

  • Manage checklists and trackers for audits, exams, and compliance reviews

  • Support updates to policy forms, procedures, and training materials

  • Assist with special projects assigned by the General Counsel

Required Skills & Abilities:

  • Bachelor’s degree or Paralegal Certificate required

  • 2–5 years of experience as a paralegal or legal assistant, preferably in insurance, compliance, or financial services

  • Strong knowledge of legal processes, compliance, and regulatory requirements

  • Excellent organizational and time management skills with the ability to manage multiple deadlines

  • Strong written and verbal communication skills; ability to draft clear, professional correspondence

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with legal/compliance tracking software preferred

  • Ability to work independently, handle sensitive information with discretion, and collaborate across departments
