Must strongly embrace the GraceWorks mission. POSITION SUMMARY The Administrative Assistant provides high-level administrative and organizational support to the Leadership team. This role reports to the Sr. Executive Assistant and assists with scheduling, communications, documentation, and coordination of cross departmental activities. The ideal candidate is detail-oriented, proactive, professional, and passionate about serving in a ministry-focused environment. PRIMARY DUTIES AND RESPONSIBILITIES include the following: Leadership Support Directly reports to the Sr. Executive Assistant. Prepare agendas, meeting notes, presentations, and follow-up communications. Support Leadership team members in tracking deadlines, project milestones, and strategic initiatives. Administrative & Operational Duties Manage calendars, schedule meetings, and coordinate appointments for Leadership team members. Controller Director of Development Director of HR Director of Marketing Director of Operations Sr. Director of Programs and Collaboration Vice President of External Affairs Handle calls, emails, and correspondence. Assist with organized digital and physical filing systems for Leadership documents and records. Coordinate travel arrangements, expense tracking, and reimbursement submissions. Office supplies coordination and ordering. Coordinating mail. Coordinating the inbox: info@graceworkstn.org Communication & Coordination Serve as a professional and warm point of contact on behalf of the Leadership Team. Facilitate communication between departments, ensuring information flows clearly and in a timely manner. Support coordination of staff meetings, retreats, training sessions, and special events. Project & Event Support Assist with planning and executing Leadership-led initiatives and ministry events. Monitor project timelines to ensure tasks remain on track. SUPERVISORY RESPONSIBILITIES None QualificationsQUALIFICATIONS To perform this job successfully, an individual must have a high ability to multi-task and attention to detail. EDUCATION AND/OR EXPERIENCE High School Diploma Required Bachelors Degree or 2 years of Administrative Assistant experience preferred OTHER SKILLS Motivated energetic self-starter with strong problem-solving skills; attention to detail and appreciation for accuracy are critical; ability to handle multiple tasks simultaneously; computer literate with high knowledge of Excel and data entry; highly developed organizational skills; excellent time and self-management skills; strong sense of initiative and ability to work under pressure on multiple projects; ability to work independently and as a part of a team.
