Job DetailsJob Location: Fredericksburg, VA 22401Position Type: Full TimeTravel Percentage: Up to 50% Overview of the Position  As a part of the Pro-Life Generation, Students for Life of America is looking to hire a full-time Scheduler for the President. This person will report directly to the President’s Chief of Staff and will be in daily communication with the President of Students for Life of America & Students for Life Action. This is an exciting position for a passionate pro-life professional looking to serve the pro-life movement in an administrative capacity.  Responsibilities   Administrative Duties  Plan and coordinate all travel for the President.  Book hotels, flights, rental cars, Airbnb's, etc.  Plan out all travel itineraries with exceptional detail.  Work with and coordinate several internal teams to ensure productive trips with minimal logistical issues. These trips will include supporter meetings, media interviews, and public speeches, often all three, along with internal meetings previously scheduled.  Ensure recurring meetings with internal teams are scheduled around extended trips, before, during or after.  Coordinate Board of Directors and Board Finance Committee meetings, working directly with board members.   Manage the President’s calendar – This will be the vast majority of the position.  Be in the President’s three e-mail (Kristan@, KJH@, and Approvals@) inboxes.  Ensuring itineraries are prepared prior to meetings and logistics for speeches and travel are updated regularly in the President’s calendar.  Respond to meeting requests, internally and externally, and coordinate with staff who will be joining the meeting to ensure participation.  Be aware of the multi-conversations happening in the President’s email accounts.  Ensure President is aware of daily calendar and check-in with President multiple times throughout day to ensure schedule can be followed or make changes as needed.  Manage the President's Master Schedule Word Document for other organizational leaders to see  Manage the President's Master Schedule of Meetings, Recurring and Ad Hoc for organizational leaders to see  Submit President's Receipts for organizational credit card and prepare small, monthly expense report.  Position Details  Position Type  This is a full-time salaried position working at least 40 hours per week. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m., except when traveling.  Must be able to work flexible hours, available via text/call for emergencies in the evenings and on the weekends.   Physical Demands  Must have the ability to operate technical equipment such as a computer and sit for extended periods of time.   Must be able to withstand extended periods of driving.   Must be able to travel with the President, taking early and red-eye flights.   Must be able to drive a car safely and confidently.   Must be able to work in an environment with children present.  Travel  Travel to bi-annual team trainings, the President’s campus speaking tours and events, donor events, and more.   Other Duties  Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job. Duties, responsibilities, and activities may change at any time with or without notice. QualificationsQualifications  Proficiency in Microsoft Office programs such as Word, Excel, and Outlook.   Candidates must have knowledge of grammar rules and utilize the oxford comma.   Must have at least 3 – 5 years of experience working as an executive assistant.  Must have a valid driver’s license and insurance.  Must not have a fear of flying.  Who Are We Looking For  Candidates must thrive in a work environment that can change quickly.  Candidates must be self-motivated, a good problem solver, have an entrepreneurial spirit, expert multi-tasker, maintain confidentiality, able to work independently, and be a highly organized person.   Must be teachable to learn SFLA technologies and platforms.  Candidates must have a desire for travel, a passion for organization, and excitement for the pro-life movement.  Work Authorization  Must be able to successfully complete an I-9. The I-9 is used for verifying the identity and employment authorization of individuals hired for employment in the United States.
