This position serves as a central member of the Academic Affairs team, providing comprehensive administrative and operational support to the Registrar’s Office and Chief Academic Officer while coordinating initiatives that enhance the faculty, student, and campus experience. The successful candidate is a proactive problem solver who enjoys managing multiple priorities, building relationships, and ensuring the smooth operation of academic programs and events. Primary Responsibilities The Academic Affairs Administrative Coordinator provides comprehensive administrative, operational, and project support across the division of Academic Affairs. As a member of the Registrar’s team, working closely with the Chief Academic Officer, deans, directors, faculty, Human Resources, and other campus partners, this position helps ensure the effective delivery of academic services and initiatives by: Serving as the primary administrative resource and first point of contact for Academic Affairs, responding to inquiries and connecting faculty, staff, students, and external constituents with appropriate resources. Providing administrative support to the Chief Academic Officer and assisting deans and directors with scheduling, correspondence, travel arrangements, budget tracking, document preparation, and special projects. Maintaining accurate academic records, policies, forms, and departmental resources while ensuring information remains current and accessible. Coordinating faculty recruitment, hiring, onboarding, and employment processes, including maintaining faculty personnel files, preparing adjunct contracts, communicating with candidates, and partnering with Human Resources to ensure accurate records. Planning and coordinating Academic Affairs meetings, programs, and signature university events such as Commencement, Student Awards, New Faculty Orientation, faculty meetings, and other divisional events by managing logistics, vendors, facilities, communications, and event timelines. Managing course scheduling, classroom assignments, and scheduling software. Assisting with curriculum updates, transcript review, and other recurring academic processes within institutional systems. Supporting departmental operations by managing communications with external partners, such as the online bookstore, while assisting with ongoing operational and strategic initiatives. Identifying opportunities to improve processes, enhance efficiency, and contribute to a positive, collaborative culture within Academic Affairs. Working closely with HR, Financial Aid/Billing, and Office of the President.  What We're Looking For Exceptional organizational skills with the ability to manage multiple priorities while maintaining attention to detail. Initiative, sound judgment, and a continuous improvement mindset. Proficiency with Microsoft Office Suite and the ability to learn institutional software systems. Associate's degree required; Bachelor's degree preferred.
