About the role:
The Clinic Manager is responsible for the overall operational, financial, and administrative management of our healthcare clinic. This role ensures the delivery of high-quality patient care and efficient day-to-day operations while maintaining compliance with applicable laws, regulations, and organizational standards. The Clinic Manager acts as a liaison between staff, providers, and executive leadership to support optimal patient outcomes and a positive work environment. They will lead and manage a small team of staff and providers, and will collaborate with our network of clinic locations.
Essential Duties and Responsibilities:
- Monitor and improve day-to-day clinic operations to ensure workflow and high patient satisfaction, including staffing, scheduling, and supplies.
- Evaluate team performance and support ongoing development, training, and coaching.
- Foster a collaborative culture focused on accountability, continuous improvement, and employee engagement.
- Collaborate with medical providers to align clinical and administrative operations in support of practice goals.
- Ensure compliance with regulatory standards, including HIPAA, OSHA, and applicable state/federal healthcare laws.
- Monitor and manage site budget, expenses, and revenue; identify opportunities for cost containment and operational efficiencies.
- Oversee front desk, billing, and scheduling functions to ensure accurate and timely processing of patient services.
- Lead quality improvement initiatives and implement best practices for patient care delivery and operational effectiveness.
- Serve as a point of escalation for patient concerns and resolve issues with professionalism and empathy.
- Maintain accurate records, reports, and documentation as required by the organization and regulatory agencies.
- Ensure adherence to company policies, procedures, and service standards.
- Prepare reports on performance metrics, staffing, and operational issues for senior leadership.
- Participate in strategic planning and contribute to site growth, marketing, and community outreach efforts.
- Conduct regular site visits and operational audits to assess compliance, performance, and morale.
Education:
- Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred, but not required.
Experience:
- Minimum 1 or more years of healthcare management experience, preferably in a multi-provider or multi-specialty clinical setting.
- Proven experience in team leadership, process improvement, and financial management.
Skills and Abilities:
- Strong leadership, interpersonal, and organizational skills.
- Knowledge of electronic health records (EHR) and healthcare billing processes (ECW a plus).
- Proficient in Microsoft Office Suite and practice management software.
- Excellent verbal and written communication skills.
- Ability to work collaboratively with diverse teams and manage multiple priorities.
- Bilingual in English and Spanish is preferred but not required.
Work Environment, Travel and Physical Demands:
- Primarily office-based within a clinical setting.
- Frequent travel to other clinics around DFW for training and corporate meetings.
- Requires sitting, standing, and walking for extended periods.
- Occasional lifting of up to 25 pounds may be required.
