Youth Act Program Assistant Position Summary:    

The Youth Assertive Community Treatment (Youth ACT) Program Assistant provides administrative and operational support to a multidisciplinary team serving youth with Serious Emotional Disturbance (SED) and complex behavioral health needs. This role ensures efficient program operations by coordinating scheduling, documentation, communication, reporting, and compliance activities in accordance with New York State Office of Mental Health (OMH), Medicaid, and agency standards.

Youth Act Program Assistant Job Responsibilities:

  • Provide administrative and clerical support to the multidisciplinary Youth ACT team, ensuring efficient daily operations and coordination of program activities.
  • Coordinate scheduling, referrals, communication, meetings, and administrative workflows while serving as a liaison with youth, families, providers, and community partners.
  • Maintain accurate electronic health records, documentation, data tracking, reporting, and program files in compliance with OMH, Medicaid, HIPAA, and agency requirements.
  • Prepare reports, correspondence, spreadsheets, and other administrative materials while supporting authorizations, record requests, incident reporting, and information management.
  • Support program operations through onboarding assistance, supply management, office organization, technology utilization, and participation in team meetings and administrative initiatives.
  • Maintain confidentiality, adhere to agency policies and professional standards, complete required trainings, and perform other administrative duties as assigned.

Youth Act Program Assistant Qualifications:

  • High school diploma or equivalent required; Associate's degree in Business Administration, Human Services, Healthcare Administration, or a related field preferred.
  • One to two years of administrative, healthcare, behavioral health, or human services experience; experience in community-based programs, multidisciplinary teams, or Youth ACT-related services preferred.
  • Current CANS-NY certification (or ability to obtain), completion of required OMH Youth ACT trainings, and knowledge of trauma-informed care, crisis intervention, and culturally responsive practices.
  • Proficiency with electronic health records, Microsoft Office, scheduling and data management systems, with knowledge of HIPAA, Medicaid documentation, and OMH requirements preferred.
  • Strong organizational, communication, time management, problem-solving, and administrative skills with the ability to manage multiple priorities while maintaining accuracy and confidentiality.
  • Valid New York State driver's license, reliable transportation, and ability to travel throughout the community while utilizing office technology and electronic documentation systems.

Salary: $50,000 Annually
