Overview

Supports the system VP by leading budgeting, analytics, and administrative infrastructure across facilities operations, planning, design & construction, real estate, safety, security, and transportation. The role manages annual operating and capital budgets, maintains executive-ready financial and project dashboards, oversees core business services, manages policies and procedures, ensures audit readiness, and supports system standardization. This role is responsible for preparing executive level presentations and communications for the system VP.  The position also serves as a central liaison to hospital leaders, triaging requests and driving issues and strategic initiatives to closure.


Responsibilities

  • Manage annual operating and capital budgets, tracking spend against plan, forecasting variances, and preparing regular reports for the VP.
  • Lead the annual budgeting calendar for all departments under the VP, collecting input, standardizing requests, and consolidating capital and operating submissions.
  • Monitor departmental financial and operating performance and provide variance analyses with recommended actions.
  • Track capital project financials at a summary level (budget, commitments, actuals, variances) for all markets.
  • Maintain centralized trackers for capital projects, real estate leases, and departmental initiatives, consolidating data into concise, executive-ready reporting packs.
  • Develop and maintain dashboards and KPIs for facilities operations, planning, design and construction, real estate, safety, security, and transportation, including monthly financial dashboards for the VP.
  • Oversee facilities business services, including purchasing, receiving, construction and maintenance contracts, and warehouse operations, ensuring service quality and financial control.
  • Monitor purchasing and receiving KPIs, partnering with Finance and Accounting to identify issues, resolve discrepancies, and improve processes.
  • Establish and maintain standardized project and administrative tools, including templates for agendas, status reports, decision logs, and action registers for VP-led initiatives.
  • Prepare executive-level presentations and board or leadership updates by gathering, analyzing, and synthesizing operational and financial data into clear, concise materials.
  • Oversee department-wide processes for policy updates, procedure documentation, audit readiness, and compliance records related to inspections and certifications.
  • Ensure accurate, accessible records for inspections, certifications, and facility documentation required for surveys and regulators in partnership with Facilities Operations leaders.
  • Support vendor and contract administration workflows with Procurement and Facilities leadership, including RFP calendars, basic spend analysis, and performance tracking.
  • Serve as a liaison with Finance, Supply Chain, HR, IT, and other stakeholders on behalf of the VP to resolve issues and advance departmental initiatives.
  • Coordinate key strategic initiatives assigned by the VP, tracking milestones, risks, and follow-up actions to ensure timely completion.
  • Manage incoming requests to the VP’s office from hospitals, executives, and external partners, triaging to appropriate leaders and tracking follow-up through to closure.

Utilizes AI to optimize business operations.


Qualifications

Education: Bachelor’s degree in business, finance, health administration, construction management, or related field; Master’s degree preferred.

 

Experience: Minimum of five (5) years of experience in operations, finance, or project management, ideally supporting facilities, construction, or hospital operations leadership. Experience in complex, multi-site organizations; healthcare or higher-ed facilities exposure is highly preferred.
