Job Summary:
The Office Administrator is responsible for the smooth day-to-day operation of the office, serving as the first point of contact for calls and visitors and ensuring that mail, supplies, inventory, and office resources are managed efficiently. This role also supports internal events, including the coordination of in-house training sessions, and helps maintain an organized, well-stocked, and welcoming office environment.

Duties and Responsibilities:
- Support day-to-day office operations, ensuring efficiency and organization
- Greet and direct visitors, ensuring a professional front-office experience
- Answer, screen, and route incoming phone calls in a professional and courteous manner
- Manage incoming and outgoing mail and packages, distributing them appropriately
- Monitor, order, and maintain office supplies and inventory, ensuring adequate stock levels at all times
- Order water and other office refreshments/consumables, coordinating with vendors as needed
- Track office supply and vendor spending, flagging any discrepancies or budget concerns
- Assist with scheduling meetings and calendar coordination as needed
- Assist with setting up and coordinating in-house training events, including scheduling, room setup, materials, and equipment
- Maintain organized filing systems for office and administrative records
- Coordinate with building management and vendors on office maintenance and repairs as needed
- Assist with general administrative tasks and internal coordination with staff members

Qualifications:
- High school diploma or equivalent required; Associate's degree preferred
- 1+ years of experience in an office administration, front desk, or clerical role
- Strong organizational skills with the ability to manage multiple tasks and priorities
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Dependable, detail-oriented, and comfortable interacting with staff and visitors at all levels
- Ability to lift and move light office supplies (e.g., water jugs, paper cases) as needed
