Essential Duties and Responsibilities: 

This position is responsible for the following: Other duties may be assigned.  

  1. Assign project numbers for new entries in Customer Relationship Management (“CRM”), set up project number and open SharePoint site.  Send the project number and link to the SharePoint site to the Project Manager. 

  1. Obtain Sales Tax Exemption certificates for new customers or vessels. 

  1. Open/close projects in the Jamis Prime ERP system (“Prime”) and maintain project documentation including customer purchase orders, prejob budgets, etc. 

  1. Set up project budgets in Prime and run the Cost Summary Report to confirm that budgets were set up correctly.  Continually update project budgets as work scopes are added or revised. 

  1. Coordinate with other facilities for shared projects, including confirming item set-up and budgets. 

  1. Assist Project Managers with ongoing project reporting, cost review and cost correction, including preparing Earned Value Reports for fixed price projects. 

  1. Monitor actual costs compared to budgeted costs and notify the Project Managers of any potential issues. 

  1. Respond to customer requests for additional information. 

  1. Attend project meetings with project managers and customers as needed. 

  1. Process customer billings using Prime and Microsoft Excel.  For Time & Material (T&M) and Cost-Plus projects, accumulate all supporting documentation (signed timesheets, etc.) to attach to the customer invoice. File the customer billing along with appropriate backup in SharePoint & Prime. 

  1. Process revenue for month end and document revenue calculations. 

  1. Contact customers to collect outstanding invoices and assist with customer questions. 

  1. Attend the weekly collections meeting to update management on the status of unpaid invoices. 

  1. Assist in the preparation and update of Project Cash Flow forecasts. 

  1. Perform other duties as assigned. 

Required Education & Experience: 

  1. High school education or equivalent 

  1. Some college courses in business, Accounting or Finance are preferred. 

  1. Five years of billing, accounting or equivalent experience required. 

  1. Billing or accounting experience in an environment that uses Job Cost Accounting preferred. 

  1. Computer literate, including advanced skills using Microsoft office (Word, Excel, Outlook) and experience with accounting software. 

Working Conditions: 

  1. Must possess mobility to work in a standard office setting and use standard office equipment, including a computer, and to attend meetings at various sites.  

  1. Mobility to climb up and down stairs all day, as needed. 

  1. Health, transportation, and family arrangements to attend work every weekday from 8 am to 5 pm and work on the weekends, as needed. 

  1. Strength to lift and carry materials weighing up to twenty (20) pounds. 

  1. Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours each day. 

  1. Hearing and speech to communicate in person and over the telephone. 

  1. Regular exposure to all weather conditions, especially hot, humid, and/or rainy weather, combined with regular work time indoors in environmentally controlled conditions.

  1. Office equipment, including telephone, scanner, computer, printer.
