Description


The Rail Coordinator is a logistics department role that supports safe and efficient rail operations by maintaining accurate schedules, managing waybilling and documentation, and ensuring all records are complete and audit ready. The role provides real-time operational visibility, identifies issues early, and supports seamless coordination across shifts. Success in this role requires strong attention to detail, effective communication, operational knowledge, problem-solving ability, organization, and adaptability in a fast-paced environment.


Responsibilities


  • Creates and manages daily rail schedules while maintaining accurate control records, including Commtrac and CDCV, to ensure real-time alignment with yard activity.
  • Monitors rail movements and updates scheduling systems in real time to support safe and efficient rail execution.
  • Verifies waybill numbers, release references, and required movement details to ensure accuracy before processing rail movements.
  • Holds rail movements when required documentation or release authority is incomplete to ensure compliance.
  • The role prepares, maintains, and closes required paperwork for liquid inbound, dry inbound, and dry outbound rail operations.
  • Ensures that all rail paperwork and records are completed accurately and filed appropriately.
  • The role maintains organized, retrievable, and audit-ready operational documentation across all rail activities.
  • Monitors current and upcoming rail operations to identify delays, mismatches, and readiness issues early.
  • The role escalates operational concerns when necessary to support decision-making and maintain efficient yard flow.
  • Provides clear and effective shift handoffs by documenting open items, schedule status, and outstanding issues to ensure continuity.

  • Maintain a strong working knowledge of rail scheduling, terminal coordination, waybilling requirements, and documentation processes.
  • The role requires a high level of attention to detail to ensure schedules, waybilling information, and documentation are accurate and complete.
  • Communicate effectively with Operations, supervisors, carriers, and other stakeholders to provide timely updates.
  • The role requires proactive problem-solving to identify issues early, resolve discrepancies, and follow through until completion.
  • Must maintain organization across multiple systems and records while ensuring documentation remains orderly and compliant.
  • The role requires adaptability to changing schedules, priorities, and operational demands while maintaining accuracy and consistency.
  • Support smooth rail execution by maintaining situational awareness and contributing to coordinated operations across shifts.
  • Ensure that shift transitions are seamless by clearly documenting and communicating all relevant operational information.

Qualifications / Education Requirements 


  • Strong understanding of rail scheduling, terminal operations, and documentation workflows.
  • Possess high attention to detail with the ability to verify information and maintain accurate records across multiple systems.
  • Professional communication skills to collaborate with cross-functional teams and external stakeholders.
  • Exhibit intelligent problem-solving abilities to identify, investigate, and resolve operational issues.
  • Clear and concise organizational skills with the ability to manage multiple priorities and maintain documentation control.
  • Demonstrate the ability to adapt to a fast-paced, dynamic work environment with shifting priorities.
  • A high school diploma or equivalent is required.
  • Degree in Logistics, Supply Chain Management, Operations Management, Business Administration, or a related field preferred, or equivalent experience in rail, terminal, or logistics operations.
  • 3+ years of prior experience in rail, logistics, or terminal operations is preferred.

Physical Demands


  • The ability to sit or stand for extended periods while working with computer systems and operational tools.
  • The position may require walking within terminal or yard environments to support operational awareness and coordination.
  • Ability to lift up to 25 pounds
