Job Description
The IT Project Coordinator provides high-level administrative, operational, and coordination support to the Director of Information Technology, IT leadership, and associated teams. This role serves as a central point of coordination across IT functions, supporting leadership operations, financial and procurement processes, personnel administration, and departmental initiatives.Â
This position ensures IT activities are organized, compliant, and executed efficiently by managing schedules, documentation, financial processes, and facilitating communications across teams, vendors, and stakeholders. The role also supports project tracking, reporting, governance, and operational continuity aligned with IT strategic priorities.
Pay Range: $31.03/hr. - $40.83/hr. - $51.04/hr.
Retention Bonus: $1500

Responsibilities:
IT Leadership, Administrative & Operational Support:
- Assist IT leadership in prioritizing requests, identifying scheduling conflicts, and aligning activities with strategic priorities.
- Proactively identify risks, overlaps, and gaps across leadership calendars, initiatives, and commitments.
- Coordinate calendars, meetings, and logistics for IT leadership, including vendor and cross-functional sessions.
- Prepare meeting materials, capture key outcomes, and track action items to ensure timely follow-through.
- Draft and coordinate internal communications, leadership updates, and briefing materials.
- Serve as a central point of contact for administrative requests, ensuring proper routing and resolution.
- Process HR status changes and coordinate onboarding/offboarding activities through ServiceNow.
- Partner with IT teams to ensure access, equipment, and provisioning needs are met.
- Maintain org charts, staffing trackers, and provide guidance on HR and administrative processes.
- Facilitate onboarding and maintain process documentation to support operational continuity.
- Coordinate guest Wi-Fi access in compliance with IT security policies.
- Provide general administrative and project support as needed.
Project Coordination, Reporting & Documentation Management:
- Coordinate and support IT strategic initiatives, ensuring alignment with priorities and timelines.
- Track IT initiatives, deliverables, and key milestones; provide regular status updates.
- Prepare reports, dashboards, and materials to support leadership decision-making.
- Consolidate performance metrics and key performance indicators for leadership review.
- Maintain IT documentation, including records, knowledge repositories (SharePoint), and departmental files.
- Support governance activities, including policy tracking, audit readiness, and documentation across functional areas.
- Assist with audit preparation, including coordination of artifacts and responses.
- Support project budgets, contracts, and vendor deliverables.
- Ensure compliance with records retention policies and support audits or reviews.
- Coordinate updates to organizational records, seating maps, and internal directories.
Financial, Procurement & Purchasing Card (P-Card) Administration:
- Track vendor contracts, renewal timelines, key deliverables and invoices; coordinate reviews with IT leadership.
- Monitor vendor performance and maintain visibility into contractual obligations.
- Process expense reports and reimbursements; track departmental expenditures and budget activity.
- Support budget monitoring, invoice tracking, and funding allocations.
- Coordinate purchase requisitions and approvals with Program Controls.
- Assist with vendor onboarding and procurement documentation.
- Administer P-Card activities, including reconciliation, documentation, and compliance tracking.
- Resolve discrepancies, ensure timely submission to Finance, and provide guidance on procurement and P-Card policies.
Office Operations, Inventory & Engagement Support:
- Manage IT office supplies, uniform inventory, and ordering through approved vendors.
- Maintain uniform records and coordinate distribution for applicable teams.
- Support events, promotional items, town halls, and employee engagement activities.
- Communicate supply availability and ordering timelines to staff.
- Assist with logistics, communications, and ensure branding alignment with External Affairs.
Qualifications:

Associate’s degree or equivalent experience
4–6 years of experience in administrative, project coordination, or operations support roles
Strong organizational, communication, and multitasking skills
Experience with budgeting, procurement, or financial tracking processes
Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook, Teams)
Preferred:
- Experience supporting IT or technical organizations
- Experience with ServiceNow, SharePoint, or similar systems
- Familiarity with procurement, contracts, or compliance processes
