Position Overview

The Research Financial Specialist is responsible for managing the revenue cycle of sponsored research projects and grants. This position provides financial support to principal investigators (PIs), research administrators, and departmental leadership by ensuring compliance with sponsor reimbursement/reconciliation, institutional policies, and financial reporting requirements. The Research Financial Specialist works under the general direction of the Manager, Research Contracts/Finance.

Key Responsibilities

  • Manage patient and revenue tracking through use of Clinical Conductor Clinical Trial Management System (CTMS)
  • Perform general accounting functions for the Research Department including, but not limited to, accounts payable, billing, accounts receivable, monitoring sponsor payments, and reviewing and initiating payment for research study bills
  • Ensure that all services provided to research patients are billed correctly to the appropriate payer or sponsor
  • Generate invoices for startups, milestones, per patient visits, and administrative fees; apply and monitor payments received against invoices and tracked study visits; pay study-related expenses to internal and external vendors; process patient stipends and travel reimbursements; and close study accounts in alignment with the Clinical Trial Agreement (CTA)
  • Under direct supervision, create monthly revenue reports for department and finance leadership
  • Process and post all Research payments and prepare cash receipts statements to submit to the clinic Finance team
  • Review and approve research charges in the EMR system
  • Reconcile monthly expenses and invoices
  • Assist internal and external customers with resolving billing and payment issues
  • Manage accounts receivable, accounts payable, and research collection activities
  • Perform internal audits and study close-out reconciliations to assure that study revenue is accurately captured
  • Maintain a professional approach respecting the confidentiality of patients and vendors
  • Attend regular department leadership meetings
  • Perform all other duties as assigned

Qualifications

Education & Experience

Required:

  • High school diploma
  • Two (2) years of experience in financial management and/or in healthcare administration or a clinical environment

Preferred:

  • Licensed Practical Nurse or Associate Degree in Nursing, or associate degree in Accounting, Finance, Business Administration, Public Administration, or a related field
  • Experience with Clinical Conductor or another Clinical Trial Management System (CTMS)
  • Experience with clinical research finance, sponsored research administration, or clinical trial billing

Work Environment & Physical Demands

  • Must have exceptional communication skills in both verbal and written form
  • Must be able to sit, stand, walk, reach, climb or balance, stoop or crouch, use hands/wrists, talk, see, and hear for extended periods of time
  • Ability to lift up to 10 pounds
