We are looking for an experienced Administrative Coordinator to work in the MD office.  The Administrative Coordinator will coordinate all administrative tasks required by management.   Responsibilities: Serve as a point of contact and link between employees, internal departments, and external parties, including vendors, lenders, and customers. Adeptly uses multi-line telephone system and other communications methods and networks. Process billing for open order jobs. Closing open order jobs to ensure proper cost is accounted for on the job. Generate and maintain financial spreadsheets per the finance department. Assist the mechanics in completed their time tickets in the system to ensure proper pay. Enter and update information in computer databases. Assist the dispatchers upon their absence. Deliver materials to field Mechanics, as needed. Performs other duties as assigned.   Work Environment & Hazards: This job operates in a general office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.   Special Physical Demands: This is a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand, as necessary.   Work Contact Group: Significant contact with mechanics and field staff Qualifications High school diploma or equivalent required. At least one year of related experience required. Excellent verbal communication skills. Ability to execute directions accurately and with speed. Excellent interpersonal and customer service skills. Excellent organizational skills and diligence. Strong analytical and critical thinking skills. Ability to prioritize tasks, delegating when appropriate. Ability to operate or to quickly learn a variety of communications systems.
