Warranty Billing Specialist
Position Summary 
The Warranty Billing Specialist is responsible for processing and managing warranty claims, ensuring accurate billing, and maintaining compliance with manufacturer and company policies. This role involves reviewing repair orders, submitting warranty claims, tracking reimbursements, resolving discrepancies, and communicating with service advisors, technicians, and manufacturers to ensure timely and accurate claim processing. The position requires strong attention to detail, organizational skills, and knowledge of commercial HVAC, refrigeration and cooking equipment.
 
Essential Functions
  • Claim Processing: Review, prepare, and submit OEM, dealer, or extended-warranty claims in accordance with strict manufacturer guidelines.
  • Verification: Verify coverage eligibility, validate parts/labor accuracy, and flag discrepancies in service orders. Maintain and update labor codes/rates as needed.
  • Documentation: Partner with internal teams (e.g., service advisors, technicians) to close documentation gaps and maintain accurate tracking in claims management systems.
  • Reconciliation: Track claim statuses, reconcile accounts receivable for short paid/adjusted claims, and resubmit or appeal any denied or rejected claims.
 
Responsibilities of the Position
  • Product Knowledge, strong understanding of industry equipment, maintain billing speed in accordance with company guidelines and month end procedure
  • Analytical Skills: High attention to detail to spot discrepancies in labor times and parts
  • Software Proficiency: Navigating multiple 3rd party billing platforms, Global Edge, and Microsoft Office/Excel
  • Soft Skills: Excellent customer service and conflict resolution skills to handle customer disputes
  • Time Management: Able to prioritize tasks
