Project New Generation is an Arizona-based healthcare organization serving individuals with developmental disabilities and the broader community. Our service lines include a residential group home, Division of Developmental Disabilities (DDD) contracted services, home health, and a long-term care pharmacy. We are a growing company, and this position sits at the center of that growth.
Position Summary
We are seeking an organized, dependable Administrative Assistant / Human Resources Recruiter to support the entire company across all service lines and locations. This is a dual role: roughly half of your time is spent recruiting, interviewing, and onboarding staff, and the other half providing administrative and clerical support to company leadership. You will report directly to the Chief Operating Officer.
This is a hands-on position for someone who enjoys keeping people, paperwork, and deadlines moving at the same time.
Recruiting & Human Resources Duties
- Write, post, and manage job listings across job boards and hiring platforms
- Source, screen, and phone-interview applicants for open positions
- Conduct first-round interviews and coordinate second interviews with the COO and Directors
- Track applicants from application through hire, and maintain timely communication with every candidate
- Prepare offer letters, new hire packets, and job description acknowledgment forms
- Guide new hires through onboarding paperwork and required pre-employment steps
- Coordinate Arizona DPS Fingerprint Clearance Card applications, background checks, and reference checks
- Track completion of required trainings and certifications, including CPR/First Aid, Article 9, medication administration, direct care worker training, and habilitation training
- Create, maintain, and audit employee personnel files for accuracy and completeness
- Monitor staff license, certification, and clearance expiration dates and drive timely renewals
Administrative Duties
- Provide day-to-day clerical and office support to leadership and all departments
- Answer and route phone calls, emails, and general company correspondence
- Maintain organized digital filing systems and shared drives
- Track DDD and AHCCCS documentation and licensing compliance requirements
- Prepare, format, and distribute company documents, forms, and reports
- Schedule meetings, maintain calendars, and take meeting notes
- Order and track office supplies and coordinate with vendors
- Support leadership with special projects as assigned
Please note: This position is administrative and clerical in nature. It does not include billing or claims support, and it does not include access to client or member records.
Qualifications
- High school diploma or GED required; college coursework or a degree in human resources, business, or a related field preferred
- One or more years of administrative, office support, or recruiting experience
- Experience in healthcare, home care, behavioral health, or DDD-funded services is a strong plus
- Proficiency with Microsoft Office and Google Workspace, including documents, spreadsheets, and shared drives
- Excellent written and verbal communication skills
- Strong organizational skills and the ability to manage multiple deadlines without losing details
- Sound judgment and the ability to handle confidential employee information with discretion
- Must pass a background check and obtain an Arizona DPS Fingerprint Clearance Card
- Valid Arizona driver's license and reliable transportation
