Job Duties

  • Travel Management System Administrator - Administer the Company’s electronic travel management system. Create, update, and maintain travel system user accounts. Assist in preparing Company travel data for management reporting needs. Monitor the Company’s travel platform to ensure booking tools are being optimized to promote and ensure compliance with the Company’s Travel Policy. Utilize platform tools to communicate travel related news and announcements to travelers. Form a strong business relationship with the Company’s Travel Management account manager to optimize travel program benefits and stay up to date on trends within the travel industry. Work closely with Human Resources to develop a process to manage system user accounts for Company guests, new employee hires, or employee transfers traveling for the Company, to ensure contract and policy compliance.
  • Coordination of Travel Program - Coordinate and support a variety of tasks within the travel program. Assist the manager to track, manage and optimize travel rewards, negotiate rates and contracts with travel vendors. Form relationships with travel vendors such as airlines, hotels, and car rental companies to stay up to date on travel related news and gain insight into potential opportunities within the Company’s Travel Program. Work with the manager to evaluate and maintain the Company’s Corporate Travel Policy. Maintain corporate travel reports. Prepare and code the Company’s travel purchase card report. Stay up to date on travel regulations.
  • Travel Program Lead - Work with departments and act as point of contact to coordinate travel requests. Ensure all travel needs are communicated to the Company’s Hospitality team to ensure guest airport pick up and drop off requests are fulfilled.
  • Program Development / Project Support - Develop, implement, and maintain an effective solution to monitor airline credits, ticket names changes, and refunds.Work with the manager to develop, implement and manage corporate travel reporting. Create, implement, and maintain the travel department's Company intranet page.
  • Special Events Support / Manager Assistance - Work closely with departments to support and assist with special events bookings. Assist and provide back-up assistance for Guest Housing and Catering Manager when required. Assign accommodations for Company guests and scheduling transportation. Consult with departments on food and beverage needs for meetings, with focus on meetings extended beyond four hours. Perform other duties as assigned.

MINIMUM QUALIFICATIONS

  • 2-4 years related experience
  • High school diploma or equivalent
  • Very little to no travel
  • Overnight stays unlikely
  • Per 8-hour shift.  Sit 7 hours and stand 1 hour.  Typical office environment (low noise level, limited exposure hot/cold temperatures, dust, fumes, and vibrations).  Regular interaction with others and performs a degree of independent work. Infrequently lift 11-20 pounds. Continuously grasp/grip (whole hand). Physical and mental demands are akin to the majority of office positions with prolonged periods of sitting and prolonged use of a computer/keyboard.  Infrequent lifting, walking, and climbing stairs.  Occasional use of office equipment (copiers, printers, etc.).

Preferred Qualification

Five to seven years related work experience. Associate degree in Business, Hospitality, or related field. Good organizational, written, and verbal communications skills. Demonstrated professionalism with a high level of maturity and decorum to handle important phone calls and confidential information.
